We're looking for an organized, detail-oriented Insurance Broker Support Specialist to join our brokerage team in Brockville, Ontario. In this role, you'll provide essential administrative and processing support to our brokers, helping deliver a seamless experience for both our team and our clients. You'll play a key role in ensuring information is accurate, complete, and processed correctly the first time.


What You'll Do

  • Collaborate with insurance carriers to process policy changes, ensuring documentation is complete and brokerage systems are updated accurately.
  • Review applications, renewals, and endorsements, acting as a second set of eyes to validate coverage requirements and identify discrepancies.
  • Assist with pre-renewal preparation, including renewal letters, certificates of insurance, pink slips, and other policy documents.
  • Proactively follow up with clients, brokers, and carriers to obtain missing information or required documentation.
  • Process client payments and broker payment requests accurately and efficiently, including sending payment reminders and responding to payment inquiries.
  • Complete invoicing for non-download policies and troubleshoot discrepancies when they arise.
  • Remove MVR information from cancelled auto files in accordance with Ministry of Transportation of Ontario (MTO) requirements and regulatory standards.
  • Provide administrative support to the broker team as needed, including preparing correspondence and policy documentation.
  • Provide reception coverage during vacations, absences, and peak business periods.
  • Stay up to date on carrier products, procedures, and system changes to provide accurate support.

What You'll Bring

  • RIBO licence or a willingness to obtain one (considered an asset).
  • Previous experience working in a personal lines insurance brokerage is an asset.
  • Experience using a Broker Management System (BMS) is an asset.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Strong communication and customer service skills.
  • A collaborative approach and willingness to support the team wherever needed.
