Job description

Implementation Coordinator - Insurance Operations
Location: Remote
Job Type: Contract, 4 months with potential extension
Pay range: $30 -$32/hr

We are seeking an organized, detail-oriented Implementation Coordinator to support insurance and benefits implementation projects. This role is ideal for someone who enjoys coordinating multiple workstreams, working with cross-functional teams, managing project details, and ensuring implementations move forward accurately and on schedule.
This is not a traditional technical Business Analyst role. The ideal candidate is a strong communicator and project/operations professional who can learn proprietary processes and systems, manage competing priorities, follow up on open items, and take ownership of projects from intake through handoff.
Key Responsibilities
  • Coordinate multiple insurance/benefits implementation projects and workstreams simultaneously.
  • Review implementation requests and supporting documentation for completeness and accuracy.
  • Identify missing or incorrect information and coordinate with internal teams to resolve issues.
  • Build and maintain implementation packages containing product details, client information, specifications, and other materials required for implementation.
  • Coordinate with external technology/platform partners to communicate implementation requirements and support the build process.
  • Track project milestones, deadlines, action items, and status updates to ensure work remains on schedule.
  • Manage project information and workflow through Salesforce and other proprietary systems.
  • Coordinate with internal teams including Sales, QA, Compliance, Actuary, and other implementation partners.
  • Review implementation and QA materials before routing projects for internal approval.
  • Follow up on outstanding questions, approvals, documentation, and testing requirements.
  • Help troubleshoot and resolve implementation-related issues in partnership with internal and external stakeholders.
  • Coordinate test-file handoffs and other implementation activities as needed.
  • Provide timely status updates and maintain accurate project documentation.
  • Monitor reporting and project activity to identify new tasks, potential delays, and items requiring follow-up.
  • Escalate issues appropriately when projects or deliverables become delayed.
  • Assist with process improvement initiatives and identify opportunities to improve implementation workflows.
  • Support internal teams with implementation-related questions and issue resolution.
  • Maintain clear and comprehensive documentation of processes and project activity.

Qualifications
  • Experience in project coordination, implementation, operations, insurance, benefits, healthcare, enrollment, or a related field.
  • Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to identify missing or inaccurate information.
  • Demonstrated ability to manage deadlines, follow up on action items, and keep projects moving.
  • Comfortable working with cross-functional teams and external partners.
  • Strong problem-solving and follow-through skills.
  • Ability to learn proprietary systems, processes, and tools quickly.
  • Professional, accountable, receptive, and proactive approach to work.
  • Experience with Salesforce, project-management systems, or similar workflow tools is a plus.
  • Experience in insurance, employee benefits, enrollment, or benefits technology is a plus.

Ideal Candidate
The ideal candidate is someone who naturally acts as the "glue" between teams-organized enough to keep track of numerous details, proactive enough to follow up on outstanding items, and professional enough to communicate effectively with a variety of stakeholders.
You do not need to be a technical expert. Success in this role comes from organization, communication, ownership, attention to detail, and the ability to coordinate many moving pieces at once.
