Service Agent Assistant

We're growing our service team and looking for an organized, customer-focused Service Agent Assistant who takes pride in making every customer interaction a great one.
ABOUT THE ROLE
The Service Agent Assistant supports the service team responsible for planning and dispatching technicians across quoted, maintenance, and time-and-material jobs. This is a fast-paced, detail-oriented, customer-facing role at the center of our day-to-day operations — you'll be the first voice many customers hear, the person who sets the tone for their experience with our company, and a key support to both our field technicians and our office.
This role is a great fit for someone who genuinely enjoys helping people, thrives on staying organized amid competing priorities, communicates clearly and professionally, and takes pride in making sure every customer feels heard, informed, and taken care of.
WHAT YOU'LL DO
Serve as a friendly, responsive first point of contact — answering incoming phone calls and routing inquiries appropriately
Set up new customers and properties in our field service management system, ensuring a smooth start to every customer relationship
Create and manage new service call requests in our field service management system, keeping customers informed every step of the way
Issue purchase orders (POs) to service technicians
Assist Accounts Payable with processing vendor invoices using our AP automation software
Fulfill purchase orders within our field service management system
Review and bill completed jobs in our field service management system, ensuring accurate, timely, and customer-friendly invoicing
File expense reports using our expense management software
Check and distribute incoming mail
Place office supply orders
Coordinate training and travel arrangements for the team
Support the service team with other duties as needed, always with the customer experience in mind
WHAT WE'RE LOOKING FOR
A genuine passion for customer service and creating a positive experience for everyone you interact with
Prior experience in a customer service, administrative, or service coordination role
Comfort learning and navigating field service management, CRM, or ERP-adjacent software
Experience with field service management, AP automation, or expense management software is a plus, but not required — we'll train the right person
Strong phone and written communication skills, with a warm, professional customer service approach
Excellent organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment without losing sight of the customer
A proactive, team-oriented attitude
Patience and a calm, solutions-focused approach when helping a frustrated or urgent customer
Experience with invoicing, purchase orders, expense reporting, or billing is a plus, but not required
