Job description

Core Role: Support + Execution

A Project Coordinator handles the administrative and process-heavy parts of projects, so PMs can focus on client relationships, problem-solving, and high-level decisions.


Day-to-Day Responsibilities

1.  Job Setup & Documentation

  • Create job folders (digital + physical)
  • Upload and organize:
    • Architectural drawings
    • Shop drawings
    • Finish selections
    • Hardware specs


2. Submittals & RFIs

  • Track shop drawing submissions and approvals
  • Send and log RFIs to GCs/architects
  • Follow up on outstanding approvals


3.  Production Coordination

  • Push approved jobs to engineering/production
  • Track:
    • Release dates
    • Lead times
    • Material status (veneers, laminates, hardware)


4.  Scheduling Support

  • Work with Install Manager to:
    • Schedule deliveries
    • Coordinate install dates
  • Confirm site readiness with GCs

5. Change Orders & Cost Tracking

  • Draft and log change orders (especially installer-directed ones)
  • Track approved vs pending changes
  • Help PM keep budget aligned


6. Project Tracking & Reporting

  • Maintain job status reports:
    • Submittals
    • Production
    • Install
    • Closeout
  • Prep weekly updates for PMs or leadership


7. Closeout & Warranty Docs

  • Compile:
    • Warranty letters (like 5-year millwork warranty)
    • O&M manuals
    • Punch list tracking
