Job description

Position Summary

The Inside Sales Representative serves as the primary point of contact between customers and the company, managing relationships with existing customers while developing opportunities with new customers. This position is responsible for understanding customer requirements, reviewing technical information, preparing and following up on quotations, coordinating order requirements, and supporting successful execution of customer projects.

The role requires a strong understanding of sheet metal fabrication processes, blueprint interpretation, material requirements, production capabilities, and pricing considerations. The Inside Sales Representative works closely with Outside Sales, Business Development, Estimating, Engineering, Production, Quality, Purchasing, and Management to ensure customer expectations are met while maintaining company profitability, operational efficiency, and customer satisfaction.

Primary Responsibilities

 

Customer Relationship Management

  • Serve as the internal communication link between customers and the company.
  • Develop and maintain strong relationships with existing customers.
  • Respond promptly to customer inquiries, requests, and project updates.
  • Build rapport and trust with customers through professional communication and follow-through.
  • Identify customer needs and provide solutions that align with company capabilities.
  • Maintain confidentiality of customer information, pricing, drawings, and proprietary data.
  • Resolve customer questions, concerns, and complaints in a timely and professional manner.
  • Communicate customer expectations clearly to internal departments.

 

Inside Sales

  • Communicate company capabilities, manufacturing processes, and service offerings to customers.
  • Follow up on sales opportunities, quotations, and pending customer decisions.
  • Maintain professional relationships with customer purchasing, engineering, and program representatives.
  • Report customer feedback to Outside Sales Associate and provide additional support when needed.

Quoting & Pricing Responsibilities

  • Review customer drawings, specifications, and technical requirements to support quoting activities.
  • Compile itemized material requirements, labor considerations, outside processing requirements, and pricing information.
  • Prepare customer quotations based on established estimating and pricing processes.
  • Coordinate with internal departments to obtain accurate cost information.
  • Communicate with outside vendors regarding outsourced processes, material availability, and pricing.
  • Apply sound business judgment when recommending pricing to support company profitability.
  • Balance customer expectations with manufacturing capability, capacity, and cost requirements.
  • Monitor quoted projects and provide feedback regarding pricing accuracy and competitiveness.
  • Maintain quotation records and follow up on outstanding quotes.

Technical Customer Support

  • Interpret drawings and identify important manufacturing considerations.
  • Review customer blueprints, specifications, and engineered data to understand project requirements.
  • Recognize sheet metal fabrication processes required to meet customer expectations.
  • Understand manufacturing capabilities, limitations, and production requirements.
  • Communicate technical requirements between customers and internal teams.
  • Assist customers with design-related questions when appropriate.
  • Coordinate with Engineering regarding drawing revisions, technical questions, and manufacturability concerns.
  • Support Design for Manufacturability (DFM) discussions.

Order Management & Coordination

  • Verify order requirements when applicable including:
    • Part numbers
    • Revision levels
    • Quantities
    • Pricing
    • Delivery requirements
    • Customer specifications
    • Documentation requirements
  • Coordinate order requirements with Production, Engineering, Purchasing, and Quality.
  • Monitor order status and communicate updates to customers.
  • Follow up internally to ensure customer commitments are achieved.
  • Assist in resolving order-related issues that may affect delivery or customer satisfaction.

Production & Vendor Coordination

  • Communicate customer requirements to internal departments.
  • Coordinate with management regarding scheduling, capacity, and delivery expectations.
  • Work with Purchasing and outside vendors regarding:
    • Material availability
    • Lead times
    • Outside processing
    • Pricing
  • Support outsourcing activities required to complete customer projects.
  • Assist in identifying potential production challenges affecting customer commitments.
  • Maintain communication between customers and internal teams throughout the project lifecycle.

MRP System Responsibilities

  • Enter and maintain customer information, quotations, and sales orders within the company MRP system.
  • Utilize MRP systems to track customer orders, job status, and related information.
  • Maintain accurate customer records and sales documentation.
  • Support reporting activities related to quotations, orders, and customer activity.

 

Administrative & Project Support

  • Maintain organized records of customer communications, quotations, and order documentation.
  • Assist with special projects and company initiatives as assigned.
  • Manage multiple priorities while maintaining accuracy and attention to detail.
  • Support continuous improvement efforts related to customer service and sales processes.

Required Qualifications

  • Experience working with customers in a technical environment.
  • Ability to understand sheet metal fabrication processes and manufacturing requirements.
  • Ability to read and interpret blueprints and engineered documentation.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently while collaborating effectively with internal teams.
  • Professional judgment, integrity, and commitment to customer confidentiality
  • Experience with Microsoft Office products.

 

Preferred Qualifications

  • Previous experience in customer service, inside sales, estimating, or a related manufacturing role.
  • Experience in precision sheet metal fabrication, machining, or contract manufacturing.
  • Experience in preparing quotations.
  • Familiarity facilitating and working with outside vendors.
  • Experience with MRP systems, preferably JobBOSS.
  • Experience with AutoCAD and/or SolidWorks.
  • Experience working with engineered drawings and technical specifications.
