Encova Insurance has an opening for a Senior IT Asset Management Administrator based in either our Columbus, Ohio or Charleston, West Virginia office. This position follows a hybrid work schedule, and candidates should reside within a reasonable commuting distance of one of these office locations to accommodate required in-office time.

The Senior IT Asset Management Administrator serves as a subject-matter expert and operational leader for Encova's IT Asset Management (ITAM) program. This role provides advanced administration, governance, and optimization of Encova's ServiceNow Hardware Asset Management (HAM) and Software Asset Management (SAM) modules. The Senior Administrator ensures asset data accuracy, drives lifecycle efficiency, strengthens compliance, and leads cross-functional coordination with Procurement, Finance, Security, End User Computing, and application asset owners.

This position is responsible for maturing Encova's ITAM processes, improving automation, enhancing reporting, and guiding stakeholders through best practices. The ideal candidate brings strong technical depth in ServiceNow ITAM, proven experience improving asset lifecycle operations, and the ability to influence process adoption across teams.

Key Responsibilities

ServiceNow ITAM Leadership & Administration

  • Serve as the primary technical and operational owner of Encova's ServiceNow HAM and SAM modules.
  • Lead configuration improvements, workflow enhancements, and lifecycle automation within ServiceNow ITAM.
  • Ensure asset data accuracy through proactive monitoring, reconciliation, and governance controls.
  • Partner with ServiceNow platform owners to design scalable, maintainable ITAM solutions.
  • Lead integrations between ServiceNow and procurement, inventory, CMDB, and endpoint management systems.
  • Provide guidance and mentorship to junior ITAM staff and cross-functional contributors.

Hardware Asset Management (HAM)

  • Oversee and optimize the full hardware lifecycle: request, procurement, receipt, deployment, maintenance, recovery, and disposal.
  • Track laptops, desktops, peripherals, mobile devices, server compute equipment, network equipment, and other IT assets.
  • Coordinate with asset owners, procurement teams, and managed partners to ensure accurate lifecycle documentation, accountability, and compliance.
  • Establish and enforce asset tagging standards, stockroom processes, and chain-of-custody controls.
  • Lead vendor and partner coordination for asset fulfillment, logistics, and disposal.
  • Identify opportunities to reduce hardware loss, improve forecasting, and optimize refresh cycles.

Software Asset Management (SAM)

  • Lead software entitlement management, license allocation, and compliance oversight within ServiceNow SAM.
  • Conduct advanced software reconciliation, optimization analysis, and cost-reduction initiatives.
  • Oversee software request workflows, automated fulfillment, and approval governance.
  • Monitor unauthorized or unlicensed software usage and coordinate remediation with stakeholders.
  • Partner with application asset owners and the Procurement team to ensure compliant, cost-effective software acquisition and lifecycle management.
  • Support vendor audits, true-ups, and contract renewals with accurate, audit-ready data.

Governance, Reporting & Continuous Improvement

  • Develop and maintain dashboards, KPIs, and reporting for asset inventory, lifecycle health, compliance, and financial impact.
  • Lead internal controls, audit support, and regulatory compliance activities related to IT assets.
  • Document and refine ITAM processes, SOPs, and governance frameworks to ensure consistent execution.
  • Collaborate with Finance on asset valuation, depreciation, budgeting, and cost-allocation strategies.
  • Drive cross-functional initiatives to improve asset lifecycle efficiency, reduce risk, and enhance user experience.
  • Recommend and implement ITAM best practices, industry standards, and process improvements.

Qualifications

Required:

  • 4-7 years of experience in IT Asset Management, ServiceNow administration, or related IT operations roles.
  • Advanced hands-on experience with ServiceNow HAM and SAM modules.
  • Strong understanding of IT hardware and software lifecycle processes, governance, and compliance.
  • Demonstrated ability to lead cross-functional initiatives and influence process adoption.
  • Excellent analytical, documentation, and communication skills.
  • Proven ability to maintain high data accuracy and enforce data governance standards.

Preferred:

  • ServiceNow ITAM certifications (HAM Pro, SAM Pro, ITAM Fundamentals).
  • Experience designing or improving ITAM workflows, automation, and integrations.
  • Familiarity with SCCM/Intune, JAMF, or other endpoint management tools.
  • Strong understanding of software licensing models (Microsoft, Adobe, etc.).
  • Experience supporting vendor audits, compliance reviews, or IT governance programs.
  • Background in procurement, financial analysis, or vendor management related to IT assets.
  • Associates degree in technology related field or equivalent experience.
