Job description

Principal Function


The Logistics Coordinator is responsible for managing and execution of the Companyโ€™s global and US domestic logistics operations. This role coordinates and monitors the full lifecycle of US purchase orders, warehouse transfers, and inbound shipments (both US domestic and international) to ensure timely, accurate delivery. The position works closely with suppliers, dray carriers, freight forwarders, warehouses, and internal production/material teams to support efficient operations, maintain inventory accuracy, and meet compliance standards.


Essential Duties and Responsibilities


1. Inbound Shipment Tracking & System Management

  • System Integrity: Update and maintain the ERP system with critical shipment milestones, including Master Bill of Lading, Container Numbers, and tracking details.
  • Status Monitoring: Monitor and update statuses in ERP.
  • Data Maintenance: Track and input Lot Numbers into ERP and systematically update internal trackers.
  • Exception Management: Proactively identify, log, and resolve transit delays; provide detailed documentation and reasoning if a shipment remains in transit for more than 10 days.

2. International & Domestic Logistics Operations

  • Supplier & Carrier Alignment: Confirm domestic shipment readiness and departure dates with domestic suppliers.
  • Drayage Coordination: Follow up closely with dray carriers to schedule and confirm terminal pickup appointments, secure warehouse delivery appointments, and keep the PO Tracker up to date.
  • Platform Operations: Generate Bills of Lading to facilitate collection and logistics execution.
  • Inbound Order Management: Create Inbound Orders within the Warehouse Management System for all international and domestic inbound shipments.

3. Inventory Control & Warehouse Transfers

  • Transfer Management: Work closely with the Production team to process, manage, and execute Warehouse Transfers.
  • Documentation: Generate necessary collection and delivery documentation for warehouses and meticulously maintain the tracking report. Collect and audit the documentation from the suppliers. Report and work through any issues to ensure documentational compliance.
  • Receiving Verification: Collaborate with receiving warehouses to secure Inbound Receipts, and update Visco ERP with the precise Warehouse Receipt Dates and Numbers.

4. Communication & Stakeholder Collaboration

  • Internal Advisory: Provide proactive status and ad-hoc updates to internal stakeholders upon request to minimize logistics bottlenecks.
  • Implementation & Integration: Participate actively in logistics implementations and operational alignment calls with key freight and broker partners.

Education and Experience


Education: Bachelorโ€™s degree preferred or 3-5 years relevant experience required.

Experience: 2 - 3 years of hands-on experience in procurement, freight forwarding, or logistics within a small to medium-sized corporate environment is preferred.

Language & Communication Skills: Fluent English (written and oral) is strictly required. Must possess the ability to speak, read, and write English with high clarity and persuasion.

Technical and Digital Skills

  • Required proficiency in Microsoft Office Suite (advanced Excel skills are heavily utilized).
  • Preferred experience using Gmail, Slack, Dropbox, and Adobe.
  • Direct experience with or an ability to quickly learn proprietary logistics software including ERP, dray auction platforms, and carrier-specific portals (steamship lines, freight forwarder portals)

Physical Demands & Work Environment

  • Regularly required to sit, utilize computer keyboards/dual monitors for extended tracking windows, and occasionally lift/move up to 20 pounds. Specific close vision capacity is required to inspect digital documents, manifests, and spreadsheet details.
  • Typical office workspace environment with a quiet-to-moderate noise level. Standard hours are Monday through Friday, 9:00 a.m. to 5:00 p.m.; however, international shipping timelines may occasionally require flexibility beyond these hours or on weekends.
