Job description

POSITION SUMMARY
The Executive Assistant provides administrative and operational support to the Executive Vice President, helping ensure efficient day-to-day operations and effective coordination of priorities, communication, travel, and meetings. This role serves as a key partner in managing schedules, preparing materials for leadership discussions, coordinating internal and external meetings, and supporting executive-level activities.
Because the organization is part of a global company headquartered in Germany, the role will also interact with international leaders and support visits and coordination with colleagues from the German parent company. The ideal candidate is organized, proactive, and comfortable managing multiple priorities while maintaining professionalism and discretion.
Executive Administrative Support
• Manage the EVP's calendar, schedule meetings, coordinate priorities, and resolve scheduling conflicts.
• Monitor and organize incoming communications, draft responses when appropriate, and track follow-up items.
• Help track key deadlines, deliverables, and leadership commitments.
Travel & Expense Coordination
• Arrange domestic and international travel including flights, hotels, ground transportation, and itineraries.
• Prepare and submit expense reports for the EVP in accordance with company policy.
• Review and approve expense reports for EVP direct reports, ensuring alignment with expense guidelines.
Guest & Customer Visit Coordination
• Coordinate logistics for internal meetings and external customer visits.
• Prepare meeting rooms and ensure professional setups for presentations and discussions.
• Arrange catering, refreshments, and meeting support as needed.
• Assist with coordination of visits from customers and international leadership, including colleagues from the German parent organization.
Presentation & Document Preparation
• Support preparation of presentations, reports, and leadership materials.
• Create highly polished PowerPoint presentations, visuals, charts, and executive briefing documents.
• Assist with compiling information for leadership discussions and business reviews.
Operational Support
• Provide administrative support for projects, meetings, and leadership initiatives.
• Help coordinate internal processes and follow-up items across teams.
• Maintain confidentiality when handling sensitive or business-critical information.
EDUCATION, QUALIFICATIONS, SKILLS & ABILITIES
• Associate's or bachelor's degree in Business Administration, Communications, or a related field preferred, or equivalent combination of education and relevant work experience.
• 5-10+ years of administrative, executive support, or business coordination experience (VP/SVP/C-Suite leaders)
• Exceptional organizational skills and the ability to manage multiple priorities.
• Strong Microsoft Office Suite skills, especially in Outlook and PowerPoint.
• Experience coordinating meetings, calendars, and travel arrangements.
• Professional communication skills and the ability to interact effectively with internal leaders, external visitors, and international colleagues.
• High level of discretion and attention to detail.
• German language skills are not required but are considered a plus given interaction with the company's German parent organization.
