Job description

Position Description: Job Title: Events Coordinator
Reports to: Events Director
Hourly Rate: $23 - $25 per hour + CommissionFLSA Status: Non-ExemptThe Events Coordinator supports the Events and Private Dining team by managing administrative processes, coordinating event logistics, and assisting with on-site execution. This role plays a key part in ensuring events are organized, accurate, and delivered with a high level of hospitality and attention to detail. The Events team supports a wide range of events at multiple restaurant locations within DDP Restaurant Group.
Key Responsibilities
Manage incoming inquiries from prospective and current clients as assigned, supporting the Event Director.
Assist with updating and maintaining all relevant event documentation, including contracts, event orders (BEOs), and floor plans.
Maintain accurate event data across internal systems, ensuring all details are current and aligned across teams.
Act as a communication liaison between Event Director, clients (as directed), vendors, and internal restaurant teams to ensure alignment on event details.
Collaborate with management teams to ensure all event details, such as timing, setup, and special requests, are seamlessly planned, documented, communicated, and executed.
Coordinate sourcing of specialty signage, rental equipment, wares, and other event-day collateral as needed.
Attend client meetings as requested to support the Event Director.
Serve as backup support for the Events Director when unavailable, including assisting with tours, meetings, and documentation updates as directed.
Provide on-site support for events as required, including setup, execution, and breakdown.
Perform additional duties as assigned in a prompt, courteous, and professional manner.
Preferred Qualifications
Prior experience in events, hospitality, or restaurant operations.
Experience with Perfect Venue, Toast, or other similar systems
Strong organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment
Strong communication and interpersonal skills
Comfortable working evenings and weekends
Physical Requirements
Ability to communicate clearly and effectively with clients, vendors, and team members, both in person and via phone/email.
Ability to remain stationary for extended periods and move throughout event spaces as needed.
Ability to bend, lift, and carry items weighing up to 50 pounds on an occasional basis.
Ability to consistently arrive at work for all scheduled shifts as assigned.
Demonstrated computer literacy, including proficiency with email and software such as Excel or Google Suites
Schedule Expectations
Varied hours primarily in the evening including weekdays and weekends
