Job description

Job Summary

We are seeking a detail-oriented and organized Supply Chain Coordinator to join our team. This role is responsible for managing purchase orders, international shipments, supporting customer orders, and ensuring accurate documentation throughout the supply chain. The ideal candidate is proactive, highly organized, and able to manage multiple priorities in a fast-paced environment while providing excellent customer service.

Key Responsibilities

  • Enter and process new purchase orders for both stock and customer orders.
  • Receive and process incoming inventory.
  • Enter and manage sales orders for direct customers.
  • Process warehouse transfers.
  • Review, approve, and verify ocean freight invoices before submitting them to Accounts Payable.
  • Verify shipment accuracy and monitor shipment status.
  • Create and maintain shipment files and related documentation.
  • Prepare allocation sheets.
  • File Importer Security Filings (ISF) with customs brokers.
  • Track inbound containers and monitor delivery schedules.
  • Send required shipping documentation to customs brokers.
  • Provide customers with sailing schedules and shipment updates.
  • Communicate with freight forwarders, customs brokers, suppliers, customers, and carriers regarding shipments, arrival notices, and logistics activities.
  • Assist in covering responsibilities for other team members as needed.
  • Maintain accurate records and ensure all documentation is complete and organized.

Qualifications

  • Strong attention to detail and exceptional organizational skills.
  • Excellent customer service and communication skills.
  • Proficiency in Microsoft Excel.
  • Experience working with multiple software systems and ERP platforms.
  • Experience with P21 (Prophet 21) is a plus.
  • Ability to prioritize tasks, manage deadlines, and work independently.
  • Previous experience in logistics, import/export, supply chain, customer service, or order management is a plus.
