Job description

Summary: The Manager of Project Implementation and Operations is responsible for the direct execution of day-to-day operations, while leading, tracking, and delivering on key operational and strategic projects. This role requires strong project management capabilities, including planning, prioritization, deadline management, and ensuring completion of initiatives across on-site and virtual clinic environments.

Reports to: Director of Clinic Services

Location: GTA

Responsibilities:
Administrative

  • Lead implementation of operational and strategic initiatives, ensuring projects are delivered on time and meet defined objectives
  • Directly manage daily operations and staff of clinic on-site and virtually
  • Develop, track, and maintain project plans, timelines, and task ownership across multiple initiatives
  • Monitor progress, identify risks or delays, and proactively implement solutions to ensure deadlines are met
  • Collaborate with management and organizational leaders to align priorities and drive execution
  • Work closely with the Project Management Office on project implementation, analytics, and clinic efficiency
  • Ensure compliance with Health and Safety procedures and practices
  • Engage clinic staff, physicians, management, vendors, and stakeholders to align with organizational priorities
  • Establish, maintain, communicate, and implement clinic and confidentiality policies
  • Identify processes and methods to improve efficiency and service quality
  • Continuously improve productivity and operational workflows across all sites
  • Manage and further develop utilization of electronic record and IT systems
  • Provide regular updates on project status, milestones, and outcomes to leadership
  • Assist and lead other relevant projects and duties

Human Resource

  • Work with staff to establish smooth and productive operations at clinic sites
  • Ensure effective staff recruitment, training, and performance management
  • Set clear expectations, assign responsibilities, and track completion of team deliverables
  • Maximize physician, specialist, pharmacy, and allied health service delivery
  • Communicate and engage with physicians, providers, vendors, and patients

Financials

  • Work with accounting team to monitor operational efficiency and adhere to budgeted staff ratios and costs
  • Track financial performance alongside operational initiatives and project outcomes
  • Identify and capture cost-saving opportunities in supplies and procurement processes
  • Coordinate with accounting to ensure prompt and accurate accounts receivable
  • Maintain profit and loss responsibility for sites
  • Provide management reports, insights, and data-driven recommendations on a monthly basis

Clinic Enhancement

  • Identify operational gaps and lead structured improvement initiatives with clear timelines and deliverables
  • Drive continuous improvement through organized planning, execution, and follow-up
  • Provide clinical guidance and support to ensure patient safety and privacy
  • Ensure long-term operational and organizational sustainability at clinic sites

Qualifications:

  • University degree or equivalent project management and industry-related experience - required
  • Minimum of 1 year of direct project management experience – required
  • Minimum of 1 year of supervisory experience - required
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously – required
  • Project Management experience from planning through execution and completion – required
  • Background in clinic operations – an asset
  • Excellent customer service and stakeholder engagement skills – an asset
  • Experience with EMR and primary health care setting – an asset
  • Valid driver’s license and access to reliable transportation – travel required – required
