Job description

Location: Atlanta, GA

The PMO Specialist is the operational backbone of RELEX's Global Project Management Office. This role owns the setup, maintenance, and lifecycle administration of customer project infrastructure across our core delivery toolchain - primarily Jira, OpenAir, and Smartsheet - enabling project managers, consultants, and delivery leaders to operate efficiently from project kick-off through to continuous service handover. 

Acting as the primary support interface for delivery teams globally, the PMO Specialist resolves tooling requests, maintains data integrity across systems, and drives process improvements to reduce manual overhead at scale. 

What you'll be doing:  

As a Project Management Office (PMO) Specialist, you will play a crucial role in providing support to end users within the customer operations department. Your responsibilities will include: 

Project & System Administration 

  • Set up, configure, and maintain Jira continuous service and implementation projects - including customer organizations, user access, SLA configuration, and automation rules 
  • Create and manage projects in OpenAir, including resource assignments, project hierarchies, and hour transfers between projects 
  • Maintain Smartsheet project records in sync with Jira and OpenAir throughout the project lifecycle 
  • Execute customer re-namings and transitions across all systems (Jira, OpenAir, Customer DB, BI reporting) in coordination with Accounts Receivable and the BI team 

Project Lifecycle Support 

  • Support project creation at kick-off and closure at go-live, including pre-closure handover requests to the support team 
  • Maintain and update project templates (standard implementation and partner-primed) as processes evolve 
  • Manage partner project manager access to OpenAir on RELEX-primed projects 
  • Coordinate ticket routing and automation setup for hybrid implementation/support scenarios at project handover 

Stakeholder Support & Service 

  • Serve as the first-line response to the global #help-global-pmo channel, triaging and resolving tooling and system requests from project managers and delivery leaders 
  • Provide clear guidance on PMO scope, escalation paths, and relevant forms/portals for requests outside PMO ownership 
  • Collaborate with cross-functional teams - AR, BI, RELEX Support, and Partner Success - to resolve multi-system issues 

Process Improvement & Automation 

  • Identify and implement automation opportunities within Jira to reduce manual administration (e.g., automatic assignees, ticket routing, SLA triggers) 
  • Contribute to the PMO team's automation roadmap, including automating monthly clock and reporting activities 
  • Maintain process documentation and update knowledge base articles as systems and workflows change 
  • Adapt PMO processes, documentation, and system configurations as business priorities and organization needs evolve 

What you'll bring to the table:  

  • 2+ years of experience in a systems administration, PMO support, project coordination, or operations role 
  • Strong proficiency with Jira - project configuration, service desks, automation rules, and user/organization management preferred 
  • Demonstrated ability to maintain data integrity across multiple systems simultaneously 
  • Excellent attention to detail and a methodical approach to high-volume, process-driven work 
  • Clear, professional written communication in English - able to guide stakeholders to the right process or resource efficiently 
  • Service mindset: responsive, thorough, and committed to quality across a high volume of requests 
  • Adaptability and comfort working in an evolving environment - able to adjust priorities, learn new systems and process quickly, and translate changing organization needs into practical ways of working

  • Experience with OpenAir or similar PSA/time-tracking platforms 
  • Experience with Claude, ChatGPT, or similar AI tools 
  • Familiarity with Smartsheet or comparable project tracking tools

  • Comfort with process mapping and identifying automation opportunities in repetitive administrative workflows
