Job description

Role Overview
The Project Manager, Data Onboarding is responsible for leading the data conversion and validation work required to successfully onboard new clients to the Advyzon platform.
This role owns the coordination and execution of key data onboarding activities, including establishing custodial data feeds, converting portfolio accounting data from a client's prior system, validating converted data, performing quality assurance, and supporting CRM data conversions. The Project Manager will work closely with clients, internal technical resources, and the Technical Consultant responsible for product training to ensure each onboarding is completed accurately, efficiently, and with a strong client experience.
The ideal candidate is process-oriented, highly organized, and comfortable managing complex projects involving multiple data sources and stakeholders. They are a strong communicator who can guide clients through technical and operational requirements, coordinate internal resources, and take ownership of issues through resolution.
Experience with portfolio accounting systems, data reconciliation, and financial data conversions is strongly preferred. Success in this role also requires creativity, curiosity, and strong problem-solving skills, as new data sources and conversion requirements regularly require the team to develop and validate new approaches.
This individual must work well within a collaborative Project Management team, actively sharing knowledge, helping teammates, and contributing to improvements that make the onboarding process more consistent, scalable, and efficient. The role will also be expected to leverage AI and automation tools to improve productivity, reduce manual work, and strengthen the quality of the onboarding experience.
Key Responsibilities
Data Onboarding Project Management
• Lead the data onboarding workstream for assigned new client implementations.
• Develop and manage project plans, milestones, dependencies, risks, and client deliverables.
• Coordinate the setup and validation of custodial data feeds.
• Manage portfolio accounting data conversions from legacy systems into Advyzon.
• Coordinate CRM data conversions, including data mapping, validation, and issue resolution.
• Ensure data onboarding activities are completed on time, accurately, and in alignment with the broader implementation plan.
• Maintain clear project documentation, status updates, decisions, and action items.
Data Conversion, Validation & Quality Assurance
• Partner with clients to gather source data, system information, mapping requirements, and conversion specifications.
• Validate converted portfolio accounting and CRM data for completeness and accuracy.
• Perform reconciliation and quality assurance across accounts, securities, transactions, positions, performance history, and other relevant data.
• Identify discrepancies, conversion gaps, and data integrity issues.
• Coordinate remediation with internal technical teams and external data providers when necessary.
• Confirm that converted data is ready for client use before onboarding milestones and go-live.
• Maintain clear validation standards, checklists, and signoff procedures.
Client Communication & Relationship Management
• Serve as the primary project contact for data onboarding activities.
• Clearly communicate data requirements, timelines, risks, responsibilities, and next steps to clients.
• Translate technical issues into understandable language for non-technical stakeholders.
• Set realistic expectations and proactively communicate when project risks or delays emerge.
• Lead data-related meetings and provide structured updates throughout the onboarding process.
• Build client confidence through responsiveness, organization, and strong follow-through.
Cross-Functional Coordination
• Partner closely with the Technical Consultant responsible for product configuration and training.
• Coordinate with internal data, engineering, product, operations, and support resources to resolve conversion and integration issues.
• Ensure data onboarding activities remain aligned with product training, configuration, and overall implementation milestones.
• Escalate risks and technical blockers to the Director, New Client Onboarding when appropriate.
• Support a smooth transition from implementation to ongoing Client Success and Support teams.
Process Improvement & Scalability
• Follow and continuously improve standardized onboarding, conversion, reconciliation, and QA processes.
• Identify recurring issues, manual steps, and workflow inefficiencies.
• Develop templates, checklists, playbooks, and documentation that improve consistency across projects.
• Partner with other Project Managers to share best practices, solve problems, and improve team performance.
• Help evaluate and improve processes for new custodians, portfolio accounting systems, CRM platforms, and other data sources.
• Contribute lessons learned from completed projects to improve future onboarding engagements.
AI & Automation Enablement
• Use AI and automation tools to improve project planning, data analysis, documentation, communication, and issue tracking.
• Identify opportunities to reduce repetitive manual work within conversion and validation workflows.
• Help test and implement AI-assisted processes that improve onboarding speed, accuracy, and scalability.
• Ensure AI-generated outputs are reviewed for accuracy and used appropriately within established quality standards.
Team Collaboration
• Work closely with other Project Managers to manage workload, share expertise, and support team priorities.
• Assist teammates with complex conversions, data validation challenges, and client issues.
• Participate actively in team meetings, project reviews, and process improvement discussions.
• Foster a culture of accountability, collaboration, knowledge sharing, and continuous improvement.
Profile & Qualifications
• Bachelor's degree in Business, Finance, Accounting, Information Systems, Computer Science, or a related field preferred.
• 3+ years of experience in project management, client onboarding, implementation, data operations, or financial technology.
• Experience with portfolio accounting systems strongly preferred.
• Experience with portfolio accounting data conversions, reconciliation, or data validation preferred.
• Experience working with custodial data feeds and financial data integrations preferred.
• Experience with CRM data conversions, data mapping, or data migration preferred.
• Strong project management, organization, and prioritization skills.
• Process-oriented mindset with a strong commitment to accuracy and documentation.
• Strong analytical, creative, and problem-solving abilities.
• Ability to investigate unfamiliar data structures and develop solutions for new conversion scenarios.
• Excellent written and verbal communication skills.

Compensation
$75k-$85k, 20%-30% bonus
