Job Title: Legal Assistant
Location: Houston, TX (Hybird role)

Position Summary:
Our client is seeking an experienced Legal Assistant to provide high-level administrative and litigation support in a fast-paced legal environment. The ideal candidate will have at least 5 years of legal administrative experience, including trial preparation and support. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while supporting attorneys across various practice areas. Flexibility to work overtime and travel for trials is required.
Key Responsibilities:
  • Prepare, revise, proofread, and file legal documents with state and federal courts.
  • Organize, maintain, and manage electronic and physical case files.
  • Coordinate and manage calendars, deadlines, appointments, and court dates for multiple attorneys.
  • Schedule meetings, depositions, conferences, and client appointments.
  • Process new client and matter intake, including file setup and maintenance.
  • Enter attorney billable time and assist with billing-related tasks.
  • Prepare and submit expense reports.
  • Manage and prioritize email communications for assigned attorneys and partners.
  • Create and update Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Arrange travel accommodations and logistics for attorneys and team members.
  • Provide support during local and out-of-town trials, including travel as needed.
  • Assist with case-related projects and special assignments.
  • Review, distribute, and route incoming mail and correspondence.
  • Coordinate support services, including courier deliveries, document processing, and conference room reservations.
  • Collaborate effectively with attorneys, staff, and practice groups throughout the firm.

Qualifications
Required
  • Minimum of 5 years of experience in a legal administrative or litigation support role.
  • Prior trial preparation and trial support experience.
  • Experience traveling to support attorneys during trial.
  • Proficiency with Microsoft 365 (Outlook, Word, Excel) and Adobe Acrobat.
  • Experience creating and editing Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Proficiency with document management systems.
  • Knowledge of legal billing software.
  • Strong understanding of county, state, and federal court procedures.
  • Excellent proofreading, grammar, and document formatting skills.
  • Exceptional organizational, time management, and multitasking abilities.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong verbal, written, and interpersonal communication skills.
  • Valid driver's license and ability to operate a motor vehicle when needed.
  • Ability to thrive in a high-volume, deadline-driven environment.

Preferred:
  • Experience with Microsoft Teams and SharePoint.
  • Experience electronically filing documents in Texas state and federal courts.
  • College degree preferred.

Education:
  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree preferred.

Schedule Requirements:
  • Overtime may be required based on workload and trial schedules.
