Job Description:

Our client is seeking an experienced Legal Assistant to provide high-level administrative support to attorneys in a fast-paced legal environment. This individual will play a key role in managing day-to-day operations, coordinating legal documentation, maintaining critical deadlines, and ensuring seamless client service. The ideal candidate is proactive, highly organized, and able to anticipate attorney needs while managing multiple priorities.

Key Responsibilities:

  • Provide comprehensive administrative support to attorneys and legal professionals, ensuring efficient day-to-day workflow.
  • Prepare, edit, format, and proofread legal documents, correspondence, and reports while maintaining a high level of accuracy.
  • Coordinate attorney calendars, meetings, conference calls, and travel arrangements.
  • Track important deadlines, court dates, and compliance requirements, ensuring attorneys remain informed of upcoming commitments.
  • Manage Continuing Legal Education (CLE) registrations, reporting requirements, and related administrative activities.
  • Serve as a professional point of contact for clients, court personnel, opposing counsel, and internal departments.
  • Organize, maintain, archive, and retrieve electronic and physical client files in accordance with firm policies.
  • Assist with transaction and closing documentation, including organizing signature pages and preparing closing materials.
  • Support billing activities by entering attorney time, reviewing invoices, preparing billing reports, and responding to client billing inquiries.
  • Prioritize multiple assignments while responding promptly to shifting business needs and attorney requests.
  • Identify opportunities to improve administrative processes and provide proactive support to the legal team.

Qualifications:

  • Minimum of 3 years of Legal Assistant experience, preferably within a New York City law firm.
  • Experience supporting attorneys in a fast-paced legal environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
  • Experience with legal document management, billing, or workflow systems such as Kofax/Nuance, InTapp, LMS+, iManage, or similar platforms is preferred.
  • Exceptional written and verbal communication skills.
  • Strong organizational abilities with excellent attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proactive, resourceful, and able to work independently with minimal supervision.
