Position Summary:

The Legal Assistant plays a key role in supporting our immigration team by preparing case materials, drafting accurate documentation, managing case workflows, and ensuring clients receive exceptional service. This position requires strong organizational skills, excellent written communication, and the ability to manage multiple deadlines in a fast-paced, detail-driven environment. This is an in-person position in Milwaukee, WI.


A note about the role: Supporting an immigration practice is uniquely rewarding and more complex than many traditional legal assistant positions. You’ll work with diverse clients, nuanced case types, and constantly evolving procedures. We provide training and support to help you grow into the role.

Requirements:

Case Preparation & File Management

  • Open and organize new matters in the case management system and shared workspace.
  • Review incoming client materials for completeness and accuracy; identify missing information and request additional documentation as needed.
  • Maintain orderly, up-to-date digital and physical files in accordance with firm procedures.

Document Drafting & Quality Control

  • Draft immigration forms, supporting statements, letters, and email correspondence with a high level of accuracy.
  • Proofread all drafted materials to ensure consistency, clarity, and compliance with case strategy.
  • Prepare translation requests, credential evaluation requests, receipt notices, and approval letters.
  • Assist in assembling and filing petitions and applications with the appropriate government agencies.

Client Communication & Case Coordination

  • Communicate with clients and foreign nationals to gather required information and provide case updates.
  • Send timely reminders regarding upcoming expirations or required actions.
  • Support scheduling of conference calls and prepare call summaries or prep sheets when needed.
  • Foster positive, professional relationships with clients and government agencies.

Case Management & Workflow Support

  • Maintain accurate case data, reminders, expiration dates, and status updates in the case management system.
  • Monitor case progress to ensure deadlines are met and follow-up is conducted promptly.
  • Collaborate closely with the Team Lead and attorneys to communicate case developments and potential issues.
  • Assist with managing the team’s Outlook inbox and coordinating internal workflows.

Legal Research & Professional Development

  • Conduct research on immigration procedures, filing requirements, and policy updates as requested.
  • Stay informed about changes in immigration law and apply new knowledge to active and future matters.
  • Develop a strong understanding of each visa type and the nuances of various case strategies.
  • Over time, take greater initiative in drafting and preparing case materials with minimal direction.
