Work Location: Anaheim, CA.


Term: Full-time, occasional evening and weekends required


Position Status: Non-Exempt, full-time temporary from start date to October 31, 2026. Extension of the position beyond October 31, 2026, is possible contingent upon continued funding.


Pay Range: $28.00 to $33.00 per hour, commensurate with experience.


Reports to: Senior Managing Attorney

About the Role: CAIR-CA provides legal immigration services to refugees, asylum seekers, and the diverse immigrant community in California, the Immigrants' Rights Center (IRC) Administrative Coordinator is primarily responsible for providing administrative support to the staff. This person has excellent time management skills and experience working with a diverse set of clients. The IRC Administrative Coordinator supports the Immigrants' Rights Center team by handling daily administrative tasks and communication with subgrantee, partnership, and clients.


DUTIES AND RESPONSIBILITIES

  • Support grant deliverables including timely collecting and reporting data and statistics as needed by grant reports.
  • Help with grant management by reviewing and organizing subgrantee files and communication.
  • Assist with responding to incoming communications including answering phone calls, maintaining the department's voicemail box and email inbox, and properly following up with intakes received online. Direct incoming communications to appropriate staff as needed.
  • Help update client data in the case management system, electronic files, and physical files.
  • Conduct initial legal intakes and follow up with clients and potential clients via phone, email, and text.
  • Draft and send out correspondence, including retainers, referrals, and closing letters.
  • Assist with processing incoming and outgoing mail.
  • Assist with organizing and maintaining department documents including scanning, uploading, and filing physical and electronic copies.
  • Support staff with legal services such as filling out immigration forms, collecting supporting documents, and assisting with various immigration applications.
  • Provide translation and interpretation assistance as needed.
  • Provide support with the onboarding of new department hires, clerks, and interns and organize onboarding schedules and training.
  • Assist with organizing immigration events, clinics, forums, and outreach efforts.
  • Assist with calendaring and scheduling internal and external meetings with clients, organizational partners, grantors, and subgrantee/awardees.
  • Assist with organizing IRC electronic filing system and resources.
  • Provide additional support to immigration staff with administrative tasks as needed.
  • All CAIR-CA staff are required to help with fundraising efforts as required.
  • CAIR-CA staff may be required to attend some weekend or weekday evening events.

REQUIRED QUALIFICATIONS

  • Experience with grant management and preparing grant reports that involve both data and narrative reports.
  • At least one year of experience in operations or administrative coordination.
  • Experience working with nonprofit organizations.
  • Working knowledge of Microsoft Office Suite.
  • Superb organizational and time management skills, with a strong attention to detail.
  • Strong verbal and written communication skills.
  • Professional integrity and ability to maintain confidentiality of sensitive data.
  • Strong organizational skills, detail-oriented, ability to multi-task, and meet deadlines.
  • Ability to work independently, be flexible, and work well under pressure in a fast-paced team environment.
  • Ability to interact with community members, clients, and prospective clients with a high level of professionalism and care.
  • Personal accountability and ability to take initiative and direction.
  • A strong commitment to civil rights and CAIR's mission.

PREFERRED QUALIFICATION

  • At least two years of experience in immigration services is preferred.
  • Knowledge and exposure of legal services at a nonprofit or private firm that provides immigration services is preferred.
  • Experience working with the American Muslim community and/or working with people from diverse cultural and socio-economic backgrounds and/or non-profit organizations.
  • Conversational proficiency in one of the following languages: Arabic, Farsi/Dari, Pashto, Urdu or Spanish is preferred.
  • Strongly prefer an Administrative Coordinator who is highly proficient with technology and comfortable learning new systems and tools.
  • Experience with SharePoint.
