Job description

Immediate Temporary Executive Assistant (C-Suite Support)

Location: St. Paul, MN 55116
Pay: $35.00–$38.50/hour
Schedule: Monday–Friday | 8:00 AM–5:00 PM (occasional after-hours support may be required)
Duration: 1+ Month Contract
Start Date: ASAP
Work Environment: 100% Onsite

Our client is seeking an experienced Executive Assistant to provide high-level administrative support to multiple C-suite executives. This is an immediate opportunity with knowledge transfer available, as the current Executive Assistant's last day is at the end of next week.

The client was recently down to two finalists for this position; however, both accepted other opportunities. They are looking to move quickly and hire someone within the next week.

Position Overview

This role goes beyond a traditional Executive Assistant position. You'll support multiple executive leaders while helping coordinate priorities across the executive team. The ideal candidate is highly organized, adaptable, and comfortable working with multiple stakeholders who have competing priorities.

The executive support model is evolving, with responsibilities expanding beyond supporting only the President to assisting multiple members of the executive leadership team. An Office Manager is also being added to assume some administrative responsibilities, making flexibility and teamwork essential.

Responsibilities
  • Provide executive-level administrative support to multiple C-suite executives.
  • Manage complex calendars, meetings, and executive communications.
  • Prepare presentations, reports, spreadsheets, and executive materials.
  • Compile reports for executive leadership using Microsoft Excel, including basic PivotTable functionality.
  • Coordinate travel arrangements and expense reporting.
  • Prepare Board of Directors meeting materials, agendas, packets, and minutes.
  • Coordinate Board and committee meetings and follow up on action items.
  • Maintain confidential files and official organizational documents.
  • Answer phones, greet visitors, and provide administrative support as needed.
  • Handle sensitive information with professionalism and discretion.
  • Assist with special projects and additional administrative duties as assigned.
Qualifications
  • Minimum 5 years of Executive Assistant experience supporting senior executives.
  • Experience supporting multiple executives simultaneously is strongly preferred.
  • Excellent organizational, communication, and time management skills.
  • Ability to prioritize multiple competing requests and work independently.
  • Advanced Microsoft Office skills, particularly Excel.
  • Experience preparing executive reports and Board meeting materials.
  • Notary Public certification or the ability to obtain one within 30 days of hire.
Preferred Qualifications
  • Experience supporting a Board of Directors (highly preferred).
  • Nonprofit experience is a strong plus.
  • Executive Assistant experience within government or legislative environments is highly valued.
  • Experience with Yardi is a plus, though not required.
Additional Information
  • 100% onsite in St. Paul, MN.
  • Standard schedule is Monday through Friday, 8:00 AM–5:00 PM, with occasional flexibility for after-hours meetings or executive needs.
  • This is a 1+ month contract with an immediate start.
  • National criminal background check required.
