Job description

A private family in Bal Harbour is seeking an experienced, hands-on Part-Time House Manager to oversee the ongoing care, maintenance, and operation of their waterfront residence.
The property is approximately 13K sq. ft. modern waterfront estate featuring extensive indoor/outdoor living areas, smart-home technology, high-end finishes, an infinity-edge pool, rooftop amenities, landscaping, and multiple specialized property systems.
The ideal candidate must have previous experience managing a comparable high-end private residence and possess a strong understanding of how residential systems and luxury properties operate. This individual should be proactive, highly organized, technically inclined, and capable of identifying issues before they become larger problems.
This is primarily a House Management position; however, the House Manager should be willing to roll up their sleeves and assist with light upkeep or basic maintenance when needed.
Schedule - The schedule is three days per week on-site during the weekdays. The days can be flexible.
Key Responsibilities
Property Management & Oversight
  • Ability to create and maintain a household manual.
  • Conduct regular interior and exterior walkthroughs, maintain the property's overall condition, and proactively identify and address maintenance concerns.
  • Develop preventative maintenance schedules and oversee repairs and projects through completion.
  • Maintain organized records of property systems, service schedules, warranties, manuals, and contractors, ensuring warranty-covered issues are addressed.
  • Manage household and property budgets, track expenses, and maintain organized receipts and purchase records.
  • Oversee household supplies, ordering, deliveries, inventory, and occasional property-related errands.

Smart Home & Residential Systems
  • Oversee smart-home technology and ensure all systems are functioning properly.
  • Maintain a working understanding of HVAC, electrical, plumbing, lighting, security, mechanical, and other residential systems.
  • Coordinate troubleshooting and technician service as needed; basic maintenance skills are a plus.

Waterfront Property Maintenance
  • Monitor and address the effects of salt air and moisture on exterior finishes, metals, equipment, windows, doors, fixtures, and other property components.
  • Coordinate cleaning, preventative maintenance, and protective treatments
  • Oversee the boat dock and surrounding outdoor areas, coordinating routine maintenanc

Vendor & Contractor Management
  • Manage and coordinate vendors for pool, landscaping, palm maintenance, Koi pond, mosquito control, HVAC, plumbing, electrical, smart-home systems, general contracting, and specialty trades.
  • Monitor service quality, obtain estimates, schedule appointments, and follow up on repairs and outstanding work.

Storm & Weather Preparedness
  • Maintain the property's hurricane and severe-weather preparedness plan and coordinate preparations before major weather events.
  • Ensure outdoor furnishings, equipment, landscaping, mechanical systems, and vulnerable areas are secured, and conduct post-storm inspections and coordinate repairs or cleanup.

Household Team Coordination
  • Work collaboratively with the Lead Housekeeper, Driver, and other household staff.
  • Communicate maintenance schedules, vendor visits, and property projects, while keeping the principals informed of significant issues, repairs, and recommendations.

Qualifications
  • Previous House Manager, Estate Manager, Property Manager, or similar experience managing a high-end private residence is required.
  • Experience overseeing a large, modern luxury property strongly preferred.
  • Comfortable working with smart-home technology and sophisticated residential systems.
  • Working knowledge of HVAC, electrical, plumbing, structural, and general residential maintenance.
  • Strong vendor and contractor management experience.
  • Strong follow-through and ability to manage multiple ongoing projects and service schedules.
  • Comfortable working independently while collaborating with other household staff.
  • Discreet and professional when working within a private family residence.
  • Willing to be hands-on and assist with light upkeep or basic maintenance when appropriate.
  • Must take ownership of the property and approach the position with a preventative rather than reactive mindset.

Compensation & Benefits:
$75,000 annual salary
