HR Coordinator (Federal Programs)

LEMOINE is seeking a detail-oriented and highly organized HR Coordinator to support a federal government contract. This position plays a critical role in ensuring employees are properly vetted, onboarded, trained, and authorized to begin work in accordance with contractual and regulatory requirements.

The HR Coordinator will manage onboarding activities, coordinate background screening and medical surveillance requirements, assist with personnel security and clearance documentation, maintain compliance records, and support learning and development initiatives. The ideal candidate thrives in a fast-paced environment, possesses exceptional attention to detail, and is committed to delivering a high-quality employee experience while maintaining strict compliance standards.

Key Responsibilities
  • Coordinate onboarding information and activities for employees assigned to the federal project.
  • Prepare, review, and quality check personnel security, clearance, and onboarding documentation for completeness and accuracy.
  • Track and manage pre-employment requirements, including background investigations, drug screens, medical surveillance, credentialing, and employment eligibility verification.
  • Serve as a liaison between candidates, hiring managers, security personnel, vendors, and project leadership to ensure timely completion of onboarding requirements.
  • Monitor onboarding milestones and maintain accurate tracking reports and personnel records.
  • Follow up with candidates and employees regarding missing documentation and outstanding requirements.
  • Assist with the administration and tracking of required federal, contractual, and company training programs.
  • Coordinate employee enrollment in learning and development programs and maintain training records.
  • Support compliance audits by ensuring personnel files, security records, and onboarding documentation are complete and properly maintained.
  • Generate reports and metrics related to onboarding, personnel readiness, training completion, and compliance status.
  • Maintain confidentiality of sensitive employee, medical, and security-related information.
  • Perform additional HR administrative and project support duties as assigned.
Qualifications

Required:

  • Associate's degree in Human Resources, Business Administration, or a related field; equivalent experience may be considered.
  • Two or more years of human resources, onboarding, recruiting coordination, personnel administration, or compliance experience.
  • Strong attention to detail with the ability to identify errors, inconsistencies, and missing information.
  • Excellent organizational, time management, and follow-up skills.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Preferred:

  • Experience supporting federal government contracts.
  • Familiarity with personnel security processes, clearance documentation, or government onboarding requirements.
  • Experience coordinating background investigations, pre-employment screenings, or medical surveillance programs.
  • Experience with HRIS, onboarding platforms, or applicant tracking systems.
  • PHR, SHRM-CP, or other HR certification.
