Job description

POSITION SUMMARY

The HR Assistant provides day-to-day administrative and coordination support to the Human Resources department. This role supports recruiting logistics, new hire onboarding, safety training coordination, employee relations administration, and internal communications, serving as a key point of contact for employees and supervisors on HR-related matters. The HR Assistant helps ensure accurate, timely HR record-keeping and contributes to a positive employee experience from hire through separation.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Support the full recruiting lifecycle for production and non-production openings, including scheduling interviews, conducting reference checks and candidate testing, and completing employment verifications.

Lead new hire onboarding, including pre-employment drug screens and orientation, to foster a positive introduction to the company.

Deliver OSHA training for assigned facility employees and provide administrative support to the local safety committee.

Maintain accurate HR records through timely data entry of new hire information, pay changes, disciplinary actions, and related employee data.

Prepare monthly 90-day performance reviews and associated benefit packets, and coordinate Hepatitis B vaccinations and tracking.

Partner with supervisors on employee relations matters, including witnessing and documenting disciplinary actions and terminations, completing absence reports, and coordinating exit interviews.

Serve as a point of contact for employees and supervisors on policy, benefits, and general HR questions, and communicate new policies and updates via posters, memos, and a weekly divisional newsletter.

Distribute monthly HR updates to supervisors and represent the company at job fairs, community events, and similar functions to support employer branding.

Coordinate employee engagement activities, including the Employee of the Month program and monthly birthday recognition.

Coordinate temporary staffing needs with staffing agencies and vendors, and serve as the primary contact for vending company issues.

QUALIFICATIONS

High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.

1-3 years of experience in an HR support, HR assistant, or administrative HR role preferred.

Working knowledge of basic OSHA and workplace safety concepts, or willingness to be trained and certified.

Strong proficiency in Microsoft Excel, Word, and Outlook; experience with HRIS platforms (e.g., Workday) a plus.

Excellent organizational skills with the ability to manage multiple priorities and deadlines.

Strong interpersonal and communication skills, with the ability to interact professionally with employees at all levels.

High degree of discretion and confidentiality when handling sensitive employee information.

Comfortable speaking in front of groups (orientation, training, community events).

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Ability to walk facility floors regularly, including production and plant areas, which may involve exposure to noise, heat, and moving equipment.

Ability to sit or stand for extended periods while performing administrative tasks.

Occasional local travel required for job fairs, community events, and multi-site coordination.

Ability to lift up to 15 lbs occasionally (e.g., benefit packets, event supplies).

OTHER REQUIREMENTS

Must maintain strict confidentiality regarding employee, medical, and disciplinary records.

Must be available for occasional early morning, evening, or weekend hours to support job fairs, community events, or shift coverage needs.

Reliable transportation required for occasional local travel between facility, job fairs, and community functions.
