The main difference lies in the platform-specific focus of Hubspot Administration versus the broader CRM expertise of CRM Specialists.

What are the key skills and qualifications needed to thrive as a HubSpot administrator, and why are they important?

To thrive as a HubSpot Administrator, you need a solid understanding of CRM management, data analytics, marketing automation, and workflow configuration, often supported by a bachelor's degree in business, marketing, or IT. Familiarity with the HubSpot platform, HubSpot certifications, and integration with related tools like Salesforce or Zapier is typically required. Excellent problem-solving abilities, attention to detail, and strong communication skills help administrators collaborate across teams and resolve user issues efficiently. These skills are crucial for maximizing the platform's capabilities, ensuring data integrity, and driving effective marketing and sales operations.

What is HubSpot administration?

HubSpot administration refers to the management and configuration of the HubSpot platform within an organization. This includes setting up user permissions, customizing properties, managing integrations, maintaining data quality, and ensuring the platform is used effectively for marketing, sales, and customer service processes. HubSpot administrators also provide training and support to team members, troubleshoot issues, and help optimize workflows to align with business goals.

What are some common challenges faced by HubSpot administrators, and how can they be addressed?

HubSpot Administrators often encounter challenges such as managing complex workflows, ensuring data integrity across multiple teams, and keeping up with frequent platform updates. To address these, it's important to establish clear communication channels with stakeholders, regularly audit and clean data, and participate in ongoing HubSpot training. Collaborating closely with marketing, sales, and customer service teams also helps ensure that the platform is configured to support evolving business needs.

Job description

Description
**This position can be close to any of our existing locations**
The Revenue Operations Specialist keeps WOW's commercial operating system running clean every day. This is the hands-on operator of the HubSpot portal and the commercial tech stack across Revenue Operations and Marketing Operations - the first person sellers, customer success reps, marketers, and General Managers call when something in the system needs to be built, fixed, or explained.
The value of the role is trust: when the portal is clean, the data is right, the reports reconcile, and the campaigns ship on time, leadership can make decisions from the numbers without second-guessing them. This role makes that true.
Duties & Responsibilities:
HubSpot administration and governance: Manage the portal day to day - properties, pipelines, permissions, workflows, and integrations. Enforce naming standards, required fields, and SOPs that keep the portal trusted as the single source of truth for pipeline, utilization, and rate.
Data integrity and hygiene: Handle duplicate management, list maintenance, CRM usage audits, and fix bad data at the source.
Report and dashboard builds: Build and maintain the reports, dashboards, and lists behind the unified commercial scoreboard, and prepare the monthly data behind leadership and Board reporting.
Lead flow mechanics: Implement and monitor routing rules, response-time SLA tracking, recycle logic, and MQL / SQL stage automation as defined by the Director and Sales leadership. Flag breakdowns before they become missed leads.
Process documentation and enablement support: Document SOPs, maintain the how-to library, onboard new users, and support Business Development / SDR and Customer Success tooling - sequences, templates, snippets, and call logging hygiene.
Tech stack execution: Manage integrations, implement approved automation and AI improvements, and serve as first line of troubleshooting for the commercial tech stack.
Campaign and email builds: Build the emails, nurture workflows, forms, landing pages, and list segmentation behind WOW's lifecycle programs - lead nurture, onboarding communications, dormant customer reactivation, expansion campaigns, and cross-sell. Load, QA, schedule, and ship what writers and agencies produce.
Marketing data and attribution hygiene: Maintain campaign object hygiene, UTM governance, and source tracking so pipeline sourced, pipeline influenced, cost per qualified opportunity, and return on marketing investment are accurate and defensible.
Agency operational support: Handle the execution-level interface with contracted agency partners - asset loading, portal access, and QA of anything a partner builds in WOW's instance. Flag sloppy or off-standard work to the Director.
Event and campaign follow-up mechanics: Load trade show leads, build lists, deploy follow-up sequences, and maintain the tracking that makes every event's pipeline and return on investment measurable.
The marketing-to-sales handoff: Operate both sides of the handoff in the portal - routing, SLAs, and stage automation on the sales side, and campaign and attribution mechanics on the marketing side - so the handoff works mechanically, every day.
Internal support: Serve as the go-to for sellers, customer success reps, marketers, and GMs. Answer the question, fix the record, build the report, and teach the requester so the same question comes back less often.
Upward improvement: When a process is broken or a better way exists, document it and raise it to the Director rather than freelancing changes to shared systems.
• All other duties as assigned.
Required Skills & Competencies:
• HubSpot fluency across Sales Hub and Marketing Hub - the non-negotiable.
• Comfort with enterprise AI tools; WOW is a heavy Claude user.
• Builder-finisher mindset - satisfaction comes from a clean portal, a dashboard that reconciles, and a campaign that ships error-free.
• Detail-obsessed with a QA reflex; checks own work before anyone else sees it.
• Service-oriented and patient with non-technical users, with no ego about the unglamorous fix.
• Strong triage discipline - works from a system, communicates what's queued, and escalates real conflicts instead of quietly slipping.
• Executes strategy rather than setting it, and raises improvement ideas with a recommendation instead of freelancing changes to shared systems.
• Documents as they go, on the understanding that if it isn't written down, it didn't happen.
Qualifications:
• Two to five years' experience in revenue operations, marketing operations, or CRM administration.
• HubSpot Admin and Marketing Hub certifications preferred.
• Experience in a portal connected to an ERP is a strong plus.
• Has built nurture workflows end to end, structured campaign tracking and attribution, and QA'd email sends at scale.
• Industry background not required - the storage trailer rental business is learnable; portal fluency and operating discipline are what this role runs on.
Success in this role means the HubSpot portal stays clean, governed, and trusted; reporting behind the unified commercial scoreboard and Board reporting is accurate and on time; campaigns and lifecycle programs ship on schedule and error-free; the marketing-to-sales handoff keeps working mechanically; and repeat support requests go down through documentation, training, and fixes at the source.
