Position Type/Classification: Full-Time; Non-Exempt


Position Summary:

The Human Resources Assistant provides administrative and operational support by assisting with recruitment and onboarding, personnel records management, HRIS administration, training coordination, and other administrative HR functions.


Working under the direction of the Director of Human Resources, this position supports the day-to-day operations of the Human Resources department by ensuring processes are completed accurately, timely, and in accordance with organizational policies and applicable federal, state, and local employment laws.


Job Responsibilities:

  • Assist with full cycle recruiting processes including creating and managing job postings, screening resumes, conducting phone screens, and providing candidate support.
  • Disposition candidates in the ATS and maintain efficient and organized recruiting files and applicant records.
  • Assist with pre-hire processes including preparing offer letters and conducting pre-employment background checks.
  • Assist with new hire onboarding including tracking completion of onboarding documents, equipment setup, scheduling new hires for orientation, and building profiles in the HRIS.
  • Assist with volunteer onboarding and recordkeeping within the agency's CRM.
  • Assist with tracking required new hire and annual training, maintaining accurate training records and documentation.
  • Create and maintain confidential, compliant, and organized human resource files, records, and documentation (physical and electronic).
  • Assist with periodic audits of HR files and records.
  • Provide clerical support such as copying, scanning, and preparing correspondence to be mailed.
  • Assist with special HR projects, process improvements, and other administrative HR functions.
  • Serve as backup to provide limited payroll/finance support.
  • Maintain the highest level of confidentiality regarding employee, applicant, financial, and organizational information.
  • Foster positive working relationships with employees, volunteers, and community partners.
  • Perform other duties as assigned by Director of Human Resources.
Requirements:

Qualifications and Skills:

  • Associate’s degree preferred with one (1) year of Human Resources or recruiting experience. High school diploma or GED with two (2) years of relevant experience may be substituted.
  • Associate Professional in Human Resources (aPHR) certification or active pursuit of an HR Certification is preferred.
  • General knowledge of employment laws, HR best practices, and the importance of maintaining compliance is preferred.
  • Experience in non-profit, social services, healthcare, or advocacy settings preferred.
  • Experience maintaining an ATS/HRIS (Paylocity preferred) or the ability to quickly learn new systems.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to maintain confidentiality and professionalism in all interactions.
  • Proficiency with Microsoft Office Suite.

Training Requirements:

Required onboarding training will be conducted at the Administrative office or designated location during the hours of 8:30 am – 5:00 pm Monday through Friday regardless of shift schedule. Must successfully complete CORE Competency training provided by the agency within 90 days of employment and participate in ongoing mandatory education and skills training on relevant topics as required by statutory funding, certification of the agency or personnel, or as identified to improve employee performance. Must maintain annual training requirements outlined in the employee manual.


Work Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This job is typically operated in an administrative location but will sometimes be working out of the office, in the emergency shelters and/or in the community. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Will be a fast-paced environment.
