Job Title: Human Resources Specialist / HRIS Specialist

Job Description

The Human Resources Specialist / HRIS Specialist plays a key operational role within a collaborative HR team, focusing primarily on day-to-day administration of the Human Resources Information System (HRIS). Working under general supervision, this position provides advanced and complex clerical and administrative support to HR Generalists and the broader HR function, including data entry, onboarding, recruitment support, leave of absence administration, and company policy administration. The specialist serves as a first point of contact for HR-related inquiries across the organization and helps maintain accurate employee records while ensuring strict confidentiality.

Responsibilities

  • Administer the HRIS on a day-to-day basis, ensuring accurate data entry, maintenance, and system updates.
  • Handle complex administrative duties to support HR Generalists, including generating reports, preparing job descriptions, posting recruitment advertisements, and processing leaves of absence.
  • Maintain internal employee files and training records, including personnel changes such as transfers, terminations, promotions, and other data updates.
  • Administer temporary employee processes, including auditing records, supporting orientations, and ensuring accurate documentation.
  • Support new hire onboarding and orientation activities, helping to ensure a smooth transition for employees joining the organization.
  • Support exit interviews and related offboarding processes, maintaining accurate records and documentation.
  • Serve as the first point of contact for HR-related inquiries across the organization and perform research to respond to employee questions and requests.
  • Ensure strict confidentiality of all HR-related information, including potential exposure to HIPAA-related employee data.
  • Assist with company policy administration and HR documentation as needed.
  • Generate and analyze HR-related reports using advanced Excel functions, presenting data in a clear and usable format for HR leadership.
  • Collaborate with HR team members to streamline HR processes and support continuous improvement in HR operations.
  • Perform any other related HR administrative and clerical duties as required or assigned, adapting to changing priorities and needs.
  • Comply with applicable US export control regulations (ITAR/EAR) in handling information and performing job duties.

Essential Skills

  • High school diploma required; college degree preferred.
  • Minimum of 4 years of human resources-related experience and/or training, including internships.
  • Proficiency in HRIS platforms, with experience in UKG strongly preferred.
  • Advanced Microsoft Excel skills, including proficiency with pivot tables, VLOOKUP, XLOOKUP, bar graphs, and pie charts.
  • Strong human resources administration experience, including onboarding, employee records management, data entry, recruiting support, and HR support functions.
  • Exceptional organizational skills with the ability to manage multiple tasks and maintain accurate records.
  • Familiarity with state and federal employment law sufficient to support HR compliance activities.
  • Demonstrated ability to maintain strict confidentiality of all HR-related information, including potential exposure to HIPAA data.
  • Strong verbal and written communication skills, with the ability to interact professionally with employees at all levels.
  • Ability to sit regularly and to stand and walk frequently, and to occasionally lift and move up to 10 pounds.
  • Ability to meet the physical and visual requirements of the role, including close and distance vision.
  • Must be a US person within the meaning of US export control regulations (ITAR/EAR).

Additional Skills & Qualifications

  • College degree in human resources, business, or a related field preferred.
  • HR certification courses or Professional in Human Resources (PHR) certification preferred but not required.
  • Experience with UKG HRIS strongly preferred.
  • Knowledge of state and federal employment law considered a plus.
  • Expirience in a manufacturing environment is beneficial.
  • Familiarity with HIPAA and handling sensitive employee information is advantageous.
  • Demonstrated ability to streamline processes and support system improvements with patience and attention to detail.
  • Adaptable, outgoing, and collaborative working style, with the ability to thrive in a dynamic environment.
  • Experience generating HR reports and supporting HR Generalists with complex administrative tasks.

This is a Contract to Hire position based out of San Diego, CA.

Pay and Benefits

The pay range for this position is $27.00 - $34.00/hr.
