Job description

Logan Property Management is seeking an organized, proactive Operations Assistant to support the day-to-day operations of our multi-site property management portfolio, including both Affordable Housing and Conventional communities.

This role works closely with Corporate Leadership, Regional Managers, and onsite teams to help keep operational priorities organized, deadlines moving, and communication flowing across the portfolio.

This is not primarily a leasing, sales, or front-desk role. We're looking for someone who understands the moving pieces behind property management operations and enjoys being the person who keeps things organized and moving forward.

The Operations Assistant will help with reporting, follow-up, vendor and invoice coordination, compliance tracking, onboarding support, operational projects, and communication between Corporate and onsite teams.

This is a full-time, temp-to-hire opportunity designed to provide immediate support while allowing both the employee and LPM to evaluate long-term fit. The position is primarily based in our Corporate Office, with occasional support at local properties as needed.

What You'll Do

Operations & Property Support

  • Track weekly and monthly property deliverables and follow up on outstanding items
  • Assist with occupancy, delinquency, budget, inspection, and other operational reporting
  • Help Regional Managers and Corporate Leadership organize property-level priorities and follow-up
  • Maintain trackers, reports, documentation, and operational records
  • Assist with special projects, property transitions, and new operational initiatives
  • Help identify missing information, approaching deadlines, and items requiring follow-up

Accounting, Vendors & CapEx

  • Coordinate with Accounting and onsite teams regarding missing invoices, documentation, approvals, and other outstanding items
  • Assist with vendor setup and communication
  • Collect and organize bids, proposals, contracts, and supporting CapEx documentation
  • Track outstanding financial and operational submissions from properties
  • Help maintain organized records so leadership can quickly see the status of open items

Communication & Follow-Through

  • Draft emails, reminders, and operational communications for Corporate Leadership
  • Follow up with onsite teams on deadlines, requested information, and incomplete items
  • Coordinate communication between Operations, Accounting, HR, Compliance, Maintenance, and property teams
  • Escalate overdue or unresolved items to the appropriate leader
  • Help reduce communication gaps by keeping clear notes and tracking next steps

Compliance & Inspection Support

  • Assist with tracking Affordable Housing deadlines, certifications, recertifications, and outstanding documentation
  • Support Compliance and onsite teams with organization and follow-up
  • Assist with preparation for MOR, NSPIRE/REAC, file audits, and other property inspections
  • Maintain trackers for upcoming inspections, deadlines, and required follow-up
  • Help organize documentation requested by leadership or Compliance

Onboarding & Team Support

  • Assist HR and Operations with new-hire onboarding logistics
  • Coordinate training schedules, system access, equipment, and onboarding materials
  • Track completion of assigned onboarding tasks and training
  • Assist with offboarding coordination and operational transitions
  • Maintain current process guides, training materials, and internal resources

Resident & Property Follow-Up

  • Help route resident concerns to the appropriate onsite or Corporate team
  • Track outstanding resident or operational matters when Corporate follow-up is required
  • Assist leadership with organizing documentation and timelines
  • Maintain professionalism and confidentiality when working with sensitive information

Onsite Support

  • Occasionally assist at San Diego-area properties during staffing transitions, training, inspections, or other operational needs
  • Provide administrative and organizational support to onsite teams when needed
  • Help reinforce Corporate processes and operational consistency across properties
What We're Looking For

We're looking for someone who is naturally a follow-through person.

You don't need to know everything on day one, but you should be comfortable receiving a goal, figuring out the next steps, asking the right questions, and keeping the project moving without needing constant reminders.

The strongest candidate will have experience in property management or another fast-paced, multi-location environment and understand that priorities can change quickly.

You should be someone who can look at a list of 15 open items and determine:

What's urgent? What's missing? Who owns it? Who needs a reminder? What needs to be escalated? And what can I take care of myself?

Qualifications
  • 2+ years of experience in property management, operations, administrative coordination, or a similar fast-paced support role
  • Property management experience strongly preferred
  • Multi-site or Regional Manager support experience is a plus
  • Affordable Housing experience, including exposure to HUD, LIHTC/Tax Credit, or Section 8, is highly preferred
  • Familiarity with property management platforms such as Entrata, Yardi, RealPage, AppFolio, or similar systems
  • Comfortable using Microsoft Outlook, Excel, Word, Teams, and shared tracking tools
  • Strong written communication skills
  • Highly organized with excellent attention to detail
  • Comfortable following up with employees and managers at different levels of the organization
  • Able to manage multiple deadlines and changing priorities
  • Strong judgment regarding when to handle something independently and when to escalate
  • Reliable, proactive, resourceful, and comfortable taking ownership
Travel & Work Requirements
  • This is a full-time, Corporate Office-based position. Occasional travel to local properties may be required for onsite support, training, inspections, or operational projects.

    A valid driver's license and reliable transportation are required for property visits.

Temp-to-Hire Opportunity

This position will begin as a temporary full-time assignment with the potential to transition into a regular full-time position based on performance, business needs, and overall fit.

During the temporary period, we're looking for someone who can quickly integrate into the team, learn LPM's processes, and begin providing meaningful operational support.

If converted to a regular full-time LPM position, the employee would become eligible for company-sponsored benefits, PTO, and other employee programs in accordance with company policy.

$25 - $26 an hour
