Purpose
Serve as an internal subject matter expert to the organization on growing immigration matters. Strategically plan for immediate business needs and long-term employment options for employees with expiring work authorizations.
Responsibilities
Leadership and Direction
  • Receive broad guidance relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution. Receive direction as needed, and especially on highly complex assignments. Independently apply extensive and diversified knowledge of principles and practices in broad areas of assignments and related fields. Review work produced by staff for quality assurance.

At the Operational and Company Level
  • Build collaborative relationships across business units to accomplish business objectives.
  • Represent the organization in a positive and professional manner.
  • Act as a role model in demonstrating the customer service standards of the organization.

Do the Work
  • Provide high-volume project management and administration of U.S. and global employment-based non-immigrant and immigrant visas, work permits, intracompany transfers, and permanent residency applications.
  • Coordinate with candidates, employees, managers, and external counsel, while tracking and maintaining current immigration data, documents, and statuses using internal electronic filing systems, HRIS system, and global immigration portals.
  • Ensure compliance with immigration and employment laws and company policies and procedures.
  • Conduct immigration research and consult with external counsel as needed to provide recommendations and guidance to employees and the business for intracompany mobility needs.
  • Perform ongoing monitoring of monthly visa expiration report for expiring work authorizations, ensuring timely I-9 updates and other employment re-verifications and visa/work permit extensions.
  • Administer and manage Permanent Residence processes and related PERM, I-140, and I-485 applications including timeline and cost discussions with managers, analysis of minimum job and prevailing wage requirements, and recruitment efforts in coordination with external council.
  • Draft and edit visa support letters, applications and immigration forms as needed. Assist with online applications and manage the collection and review of employee documents and immigration forms.
  • Administer and manager annual and ongoing U.S., Canada and global visa processes from start to finish, including: TN (border and consular), L-1A/B, Student F-1 (CPT/OPT/STEM) including I-983 Training Plan reviews, H-1B CAPS and extensions, transfers, preparation and management approvals for lottery submissions, Notice of Filings, Public Access Files, Prevailing Wage and level analysis and discussions with managers, reviewing and crafting visa job descriptions.
  • Regularly review and update immigration policies, procedures, tools, and guidance to keep company intranet/handbook information current.
  • Maintain a close relationship with Talent Acquisition, HR Business Partners, employees and managers regarding immigration cases, request case-related information as needed, and keep stakeholders apprised of case updates.
  • Continually educate and provide guidance to employees, managers and Branch Managers on immigration laws, costs, practices, and procedures, including conducting information sessions and coordinating kick-off calls.

  • Strong communication and interpersonal skills to work collaboratively with clients, colleagues, and attorneys.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook and UKG Pro.
