Household Manager & Family Assistant

Location: Longwood, FL 32779

Employment Type: Part-Time | 20-25 hours per week (20 guaranteed)

Schedule: MondayThursday | 1:00 PM7:00 PM, with some flexibility

Compensation: $30$35/hour

Start Date: ASAP

About Our Family

We are a busy, close-knit family of five, and we are looking for someone who can truly grow with us. We relocated to Florida a little over a year ago, and while so much about our life here is wonderful, the day-to-day logistics of running a full household with three active kids and two demanding careers have become genuinely overwhelming.

Both parents work outside the home one in a high-paced role with a full in-office schedule and regular travel, and the other with a schedule that shifts often and without much warning. Our kids are each involved in their own mix of activities sports, music lessons, academic clubs, and more. Their schedules rarely overlap, and keeping up with the rhythm of who needs to be where, when, and with what gear takes real attention to detail.

Our home is a warm, active, and values-driven household. Family time is at the center of everything we do. We love to host welcoming guests and family a couple of times a month and we take pride in a home that feels organized and ready. We also believe deeply in raising kids who contribute and take ownership: we want our children guided and involved in the home, not waited on. If you share that value and get a little satisfaction from instilling good habits in kids while still being the warm, consistent presence they look forward to after school, you will fit right in here.

We have had a weekly cleaning team in place, but what we are truly missing is a steady, reliable person who can hold down the afternoon and evening rhythm Monday through Thursday someone who makes it so that when we walk in the door, the hard part of the day is already handled.

Who You Are / What We're Looking For

You are someone who simply gets it who can walk into a busy household and start reading the room immediately. You think three steps ahead. You notice that the laundry is piling up and handle it before being asked. You see that the pantry is running low and add it to the list. You check in proactively so that we never have to wonder what happened while we were gone especially in the early days as we build trust together.

You are genuinely warm and patient with kids, but you also know how to hold a boundary. You can remind a child kindly but firmly that piano practice comes before screen time. You involve the older kids in age-appropriate tasks like sorting laundry or packing their own bags, because you understand that the goal is to help raise capable, self-sufficient people, not to do everything for them.

Organizationally, you have a project manager's instincts. Systems make sense to you. You enjoy bringing order to a pantry, setting up an easy system, or creating a laundry rhythm that actually holds. You are resourceful when something needs to get done and the answer is not obvious, you figure it out, whether that means finding a vendor, making a call, or just handling it and reporting back. You communicate clearly and consistently, and you take genuine pride in the kind of behind-the-scenes support that makes a family's life feel smoother.

Key Responsibilities

Family Support & Child Assistance

  • School pickup, transport to and from after-school activities
  • Afternoon structure and light supervision: homework oversight, music practice reminders, and chore accountability
  • Daily check-in on lunch preference (hot lunch or packed); ensure water bottles, backpacks, and activity gear are accounted for
  • Kid-related errands as needed; guide kids through packing and unpacking for family travel rather than doing it for them
  • Light backup childcare support as needed

Laundry & Linens

  • Wash, fold, organize, and put away all household laundry
  • Partner with older kids on sorting and putting away their own clothing focused on teaching life skills, not full service
  • Iron or steam school uniforms as needed
  • Rotate linens; change sheets or set out for weekly cleaners accordingly
  • Develop and maintain a pre-sorted laundry system; keep laundry areas tidy and stocked

Household Organization & Maintenance

  • Create and maintain household organizational systems throughout the home, including entryway drop zones, pantry, mudroom, garage back-stock, and shared kids' spaces
  • Daily resets: dishes, surfaces, light tidying, and prep for weekly cleaners
  • Manage ongoing special projects: pantry organization, shared toy loft, and seasonal clothing swaps every two to three months
  • Guest and event prep approximately twice per month: guest room readiness, fresh linens, toiletries, tablecloths, and extra grocery coordination
  • Packing and unpacking support for family travel
  • Assist with routine home maintenance tasks, including adding water to the pool before the weekly pool service visit. 

Inventory & Errands

  • Thursday grocery run; manage pantry and fridge restocking throughout the week
  • Manage Amazon Subscribe & Save, Costco, Target, and other orders; adjust quantities and handle substitutions
  • Maintain a running household supply list and manage garage back-stock
  • Errands: Amazon and other returns, dry cleaning pickup and drop-off, donation runs, mail and package handling, breaking down boxes
  • Gift shopping for birthdays, major holidays, baby showers, and family events

Meal Support

  • The family meal plans 12 weeks out; primary diet is pescatarian and vegetarian (certain fish only, no shellfish)
  • Ingredient prep: chop vegetables, drain and rinse canned goods, marinate proteins so a parent can cook when home
  • Keep fridge stocked with healthy grab-and-go snacks; coordinate school lunches as needed
  • Kitchen clean-up and dish management

Deep Cleaning & Special Projects

  • Occasional deep cleans: full fridge clean-out and old food purge, oven, and baseboards as needed
  • Refresh and maintain entryway, mudroom, and garage drop zones
  • Ongoing tasks: refill water softener salt, dust ceiling fans, clean screened porch
  • Special projects: clean makeup brushes on a set rotation, closet refreshes, gear organization

Vendor & Property Oversight

  • Coordinate with weekly cleaning team; flag any missed items
  • Facilitate transition to new landscaping company and manage ongoing coordination and payments; handle seasonal additions
  • Oversee quality checks on home projects (e.g., contractor work, paint installs)
  • Coordinate with pool service provider as needed
  • Research and coordinate vendors, repairs, and quotes as needed

Administrative & Personal Assistant Support

  • Maintain awareness of shared Google Calendar for pickup, activity, and appointment coordination (visibility only, not full calendar management)
  • Partner with family on travel research
