Hourly Secretary - Human Resources Department
 

Effective: July 1, 2026
Salary: Hourly Rate - $18.50
Hours: 28.00 hours per week
Pending Budgetary Approval


JOB QUALIFICATIONS 

  • Superior communication skills, bilingual English/Spanish strongly preferred
  • Proficiency in Google Suite
  • High degree of tact and ability to maintain confidentiality.
  • Thoroughness and flexibility.

ESSENTIAL JOB FUNCTIONS

  • Read all types of incoming material to establish essential information, for example, content or title in order to file properly.
  • Retrieve, sort and file all documentation.
  • Perform general office duties such as typing, operating office machines and sorting mail.
  • Assist in processing new hires.
  • Assist in tracking evaluations and professional development hours for staff.
  • Maintain a highly organized, arranged file room.
  • Interact with visitors, staff and public.
  • Coverage for Receptionist when necessary.
  • Date stamp files and materials received.
  • Remove and shred out of date materials.
  • Sort material in accordance with filing system used.
  • Assist with screening and directing incoming calls.
  • Locate materials from files upon request.
  • Create/edit personnel folders for new/existing employees
  • Create file jackets for employees who have left the district and plan on leaving the district.
  • Track materials removed from files to ensure that borrowed files are returned.
  • Handle requests from employees for materials from personnel file.
  • Manage and maintain archive file room.
