Trek Travel provides global cycling, hiking, and walking vacations of a lifetime with the goal of helping more people actively explore and experience the world. We're looking for an Email Marketing & CRM Manager to own our email marketing and CRM as a connected, revenue-driving system — translating brand and growth priorities into a lifecycle program that builds the list, moves prospects toward booking, and keeps guests engaged long after the trip ends. The email strategy is only as good as the data behind it, and the data only matters if it drives bookings — you'll own both, and you'll be accountable to the result.
AI is a core part of how this role operates. We expect this person to use it fluently and daily — to plan faster, communicate better, document more thoroughly, and stay ahead of what’s coming.
Good to know: if you’re local to Madison, WI, this role works from our office or warehouse space a minimum of three days per week.
POSITION RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO: 
  • The full email lifecycle strategy: acquisition, nurture, conversion, post-trip, and re-engagement
  • List growth, including capture strategy, lead magnets, form optimization, and list health
  • HubSpot implementation strategy — defining how the CRM should be structured, which workflows to build first, and how to set up the platform to support long-term email and sales goals.
  • CRM workflow design and iteration — building, testing, and refining as the platform matures and the team learns what works.
  • Contact database integrity — auditing for duplicates, gaps, and structural problems before they affect downstream execution.
  • Segmentation architecture that reflects guest behavior, trip interest, and lifecycle stage, with targeting logic refined from behavioral signals.
  • Drip and nurture sequences with clear trigger logic, timing, and progression toward booking, including mapping journey gaps and building sequence frameworks.
  • The email calendar, coordinated across brand, digital, and sales priorities.
  • End-to-end campaign execution — brief, copy direction, build, QA, deploy, with AI used as a team member to generate, iterate, and personalize copy across segments at speed.
  • A/B testing across subject lines, content, timing, and journey logic to find patterns across every variation.
  • Performance reporting that connects marketing activity directly to bookings, tracking the full funnel from first email open to confirmed reservation, then turning results into optimization recommendations.
  • Lead capture infrastructure, ensuring digital inputs flow cleanly into CRM without data loss.
  • Direct partnership with the sales team to align on lead quality, hand-off timing, and pipeline visibility.
WHAT ELSE WE'D LIKE TO SEE FROM YOU:
  • 4+ years owning email marketing strategy and CRM end to end.
  • Experience building and implementing CRM programs from the ground up.
  • Proven ability to build list growth programs and segmentation frameworks from scratch.
  • Deep HubSpot experience across campaigns, workflows, automation, and reporting.
  • A track record of connecting marketing metrics to revenue and understanding what drives bookings.
  • A belief that clean data and great email strategy are the same job.
  • Strong analytical skills with a bias toward action — you know what to do with the numbers.
  • A strong writer, or a sharp creative director who can get great copy out of others.
  • Comfort operating at the intersection of brand, digital, and sales.
  • An AI-first mindset — you use these tools daily to generate, analyze, test, and optimize across every part of the role.
