SUMMARY
The Recreation Coordinator will assist the recreation leadership team with the booking, coordination, & administrative support in relation to all bicycle & golf cart rentals. This role will contribute to the organization as an active business partner that is responsible for supporting the company's goals, objectives, vision, mission, and values.
ESSENTIAL FUNCTIONS
Major areas of responsibility/ management include, but are not limited to:
  • Answering incoming calls about future bookings and reserve accordingly in our rental system.
  • Monitoring voicemails and returning any calls/inquiries/pending booking requests
  • Responding to and referencing email bookings on a daily basis and communicating with all parties involved the confirmation of these bookings
  • Answering incoming calls regarding billing and/or rental questions/concerns, and relaying the appropriate information to all parties involved to follow through and resolve the issue, or refer to the appropriate manager.
  • Work closely with all departments involved in the booking process such as sales, front desk, experience planners, hotel concierge, member concierge, third party booking parties, administrative offices, etc. to communicate upcoming bookings and ensure the items are reserved and payments are properly processed.
  • Correctly billing, gathering, and processing payments for a variety of different guests and accommodations in our payment system.
  • Print daily reports for deliveries and pick ups, write out all tags for bicycles, and input all corresponding data into the system by close of business
  • Manage inventory in booking system and process daily no show fees, late fees, and pick-up fees
  • Create a welcoming environment for guests and associates
  • Receive initial inquiries, provide preliminary outlet information, forward to manager for appointments or follow-up
  • Training new hires on the booking system to ensure consistent use and proper facilitation to avoid service failures and discrepancies

QUALIFICATIONS
  • High school or equivalent education required
  • Minimum 2 years experience in an administrative assistant or reservations role
  • Minimum 2-3 years of customer service experience in a hotel, events, reservations, or restaurant environment
  • Clear and concise communication skills
  • Working knowledge of rental/booking processes
  • Possess basic math skills and have the ability to accurately handle billing
  • Ability to communicate clearly and speak, read, write and understand English eloquently
  • Knowledge of hotel, recreation, or bicycle shop operations
  • Outstanding customer service skills & ability to find creative solutions, express critical thinking skills, and solve complex problems
  • Advanced skills in Word, Excel, Publisher, PowerPoint, and Outlook; daily use of nearly all programs will occur

PREFERRED QUALIFICATIONS
  • Luxury hotel experience strongly preferred
  • Bachelor's Degree or 4+ years in a leadership role

PHYSICAL REQUIREMENTS
Must be able to bend, stoop, squat and stretch to fulfill cleaning and filing tasks. Must be able to exert well-paced ability in limited space. Must be able to lift up to 15 lbs. on a regular and continuing basis. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and other employees. Vision occurs continuously with the most common visual functions being those of near vision and depth perception. Requires manual dexterity to use and operate all necessary equipment. Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
