Description
The Receptionist/Admin will provide general office and project support. The Receptionist must be a customer service oriented person with excellent interpersonal skills; must have highly developed organizational skills with attention to detail; ability to handle multiple tasks simultaneously, set priorities, and work in a demanding environment; proficient with English grammar and composition; exhibit discretion, tact, and the ability to interact effectively with a variety of people.
RESPONSIBILITIES:
  • Act as the point of contact between the executives and internal/external clients
  • Maintain (be familiar with) schedules, arrange meetings, events and appointments includes providing reminders.
  • Able to maintain multiple calendars for Executives with logistics
  • Identify ways to streamline executive workload and free up time from non-productive tasks
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Assist with production of reports, presentations and briefs
  • Maintains a positive disposition during times of multiple priorities and follows through to completion
  • Manage mailroom; Work with vendors with maintenance of office equipment
  • Maintain Inventory of Office & Kitchen Supplies
  • Monitor office supplies and research advantageous deals or suppliers and manage maintenance on office equipment/facility
  • Develop and carry out an efficient documentation and filing system
  • Conduct Internet research
  • Assist with overflow work as needed
  • Take meeting minutes as needed
  • Handle other requests and queries as needed

QUALIFICATIONS:
  • High School diploma with 2-3 years of administrative experience or equivalent; completed coursework from an accredited college/university is preferred or minimum of a Bachelors' Degree with no previous Administrative Support experience.
  • Proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook
  • Fluent with flight & hotel travel reservations
  • Effective communicator with great people skills.
