Position Summary


St. Martinโ€™s Episcopal School seeks a welcoming, organized, and service-oriented professional to serve as Front Desk Receptionist. This part-time position serves as the first point of contact for visitors, families, students, faculty, and staff and plays a vital role in creating a positive and professional experience for all who interact with the School.

The Front Desk Receptionist manages the daily operations of the reception area, coordinates visitor management processes, and serves as a central communication hub for the School. The ideal candidate demonstrates exceptional customer service, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced school environment.

This position works collaboratively with the Schoolโ€™s other Front Desk Receptionist to ensure continuity of front office operations, communication, and visitor services throughout the week. Together, the reception team helps maintain a welcoming, organized, and secure environment that reflects the mission and values of St. Martinโ€™s Episcopal School.


Essential Duties & Responsibilities
Reception & Visitor Services
  • Serve as the primary receptionist for the School on assigned workdays, greeting visitors, families, students, and vendors in a warm, professional, and helpful manner.
  • Manage visitor check-in and check-out procedures in accordance with school safety and security protocols.
  • Answer and direct incoming telephone calls and general inquiries.
  • Provide assistance and information to visitors, parents, faculty, staff, and community members.
  • Monitor the reception area to ensure a welcoming, organized, and secure environment.
  • Collaborate with the Schoolโ€™s other Front Desk Receptionist to maintain consistent procedures, communication, and front office operations.
Communication & Administrative Support
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Assist with outgoing mail and shipping requests.
  • Maintain shared calendars, contact lists, employee and visitor logs and reception resources as assigned.
  • Support school-wide communications by directing inquiries to the appropriate department or staff member.
  • Assist with data entry, document preparation, filing, and general administrative tasks.
  • Maintain accurate records and front office documentation.
  • Assist with special projects as assigned.
Student & Family Support
  • Assist students arriving late or leaving early in accordance with established procedures.
  • Support parent and family inquiries while ensuring adherence to school policies and procedures.
  • Coordinate communication between families and school personnel when appropriate.
  • Assist with student sign-in/sign-out processes and visitor management systems.
Event & Operational Support
  • Provide administrative support for school events, meetings, and special programs as assigned.
  • Support office operations by maintaining inventory of reception and office supplies.
  • Coordinate service requests and communicate facility-related concerns to the appropriate personnel.
Collaboration
  • Work closely with the Executive Assistant to the Head of School, Business Office, Admissions, Advancement  and other departments to ensure efficient operations and excellent customer service.
  • Coordinate with the Schoolโ€™s other Front Desk Receptionist to ensure seamless coverage and continuity of service throughout the week.
  • Maintain positive and professional relationships with students, families, faculty, staff, and visitors.

Qualifications

Education: High school diploma or equivalent required; Associateโ€™s degree preferred.

Experience:

  • Minimum of 1โ€“2 years of experience in reception, customer service, administrative support, office management, or a related field.

  • Experience working directly with the public and managing high-volume communications.

Technical:

Work Schedule and Position Status

This is a 10-month, part-time position that follows the academic calendar.

The standard schedule is Thursday and Friday from 7:15 a.m. to 3:45 p.m. during the school year. This position works in partnership with the Schoolโ€™s other Front Desk Receptionist, who provides front office coverage Monday through Wednesday, ensuring consistent reception and visitor services throughout the week.

Additional hours may occasionally be required to support school events, meetings, special programs, or coverage needs.

The position joins our staff as a part-time employee and is classified as non-exempt under the Fair Labor Standards Act (FLSA).

Physical Requirements

Primarily office-based with campus mobility; ability to sit, stand, walk campus, and occasionally lift up to 25 pounds related to office materials, packages, or event support.
