About the Role

The Hotel Operations Assistant is an entry-level administrative and operational support position that provides day-to-day assistance to the Hotel Operations team. This role is ideal for someone who is organized, detail-oriented, self-motivated, adaptable, and comfortable working with people, data, and technology.

The Hotel Operations Assistant supports daily hotel operations through scheduling, data entry, payroll administration, onboarding coordination, reporting, and general administrative support. Working closely with hotel leadership and multiple departments, this position helps ensure operational processes are accurate, organized, and completed efficiently.

Because hotel priorities can change throughout the day, the successful candidate must be able to switch gears quickly, adjust priorities, and respond to changing operational needs while maintaining accuracy and following through on existing responsibilities.

The ideal candidate demonstrates Self-Initiated Activity by proactively identifying work that needs to be completed, following up on outstanding items, maintaining attention to detail, and continuously supporting the success of the Hotel Operations team without waiting for direction.

Minimum Qualifications
  • High school diploma or equivalent.
  • Basic computer proficiency, including Microsoft Word, Excel, Outlook, and Teams.
  • Strong organizational and time-management skills.

Essential Duties and ResponsibilitiesAdministrative Support
  • Provide administrative support to the Hotel Operations leadership team.
  • Prepare correspondence, reports, schedules, and departmental documents.
  • Maintain organized electronic and paper filing systems.
  • Answer phones, respond to emails, and assist with departmental inquiries.
  • Maintain accurate operational records and documentation.
  • Assist with departmental projects and special assignments.
  • Shift between administrative responsibilities as business priorities and operational needs change.
Scheduling and Payroll Administration
  • Assist with employee scheduling and schedule updates.
  • Enter and maintain scheduling information in ADP Workforce Now.
  • Assist with payroll processing by reviewing timecards and identifying discrepancies.
  • Track attendance, schedule changes, and staffing adjustments.
  • Respond promptly to changing staffing needs while maintaining accurate records and follow-up.
Department Support
  • Assist with new employee onboarding and departmental orientation.
  • Assist with departmental communication and meeting coordination.
  • Follow up on outstanding administrative tasks and documentation.
  • Adjust daily priorities to support departmental needs.
Systems and Reporting
  • Utilize ADP Workforce Now, Microsoft Office, Teams, and other resort systems.
  • Enter, update, and maintain employee and operational data.
  • Generate routine reports for hotel leadership.
  • Assist with tracking staffing levels, labor metrics, and operational information.
  • Learn and follow established hotel administrative procedures.
  • Move efficiently between systems, reports, and assignments while maintaining accuracy.
Initiative and Process Improvement
  • Proactively identify work that needs attention without waiting for direction.
  • Follow up on incomplete or outstanding administrative items.
  • Adjust priorities and switch between responsibilities as operational needs change.
  • Identify opportunities to improve workflows and administrative efficiency.
