Full-Time | In-Office | Corporate Office

We are seeking a highly organized, detail-oriented Administrative Assistant to support our Tax Department at our Corporate Office. This position plays an important role in ensuring the efficient operation of the department by providing administrative support, coordinating documentation, and assisting with financial reporting and tax-related processes. The ideal candidate is dependable, proficient in Microsoft Excel, and able to manage multiple priorities while maintaining a high degree of accuracy and confidentiality.

Essential Responsibilities

* Sort, scan, and distribute incoming mail.
* Prepare and mail tax filings, checks, and accounts payable payments.
* Maintain departmental calendars and tracking spreadsheets using Microsoft Excel.
* Assemble financial reporting books and other departmental documents.
* Create mailing labels for tax returns and Schedule K-1 mailings.
* Prepare and file unclaimed property reports.
* Order and maintain office and department supplies.
* Process deposits using the remote deposit capture system.
* Assist with special projects and other administrative duties as assigned.
* Make occasional trips to local banks; reliable transportation is required.

Qualifications

* Previous administrative experience in an accounting, tax, finance, or corporate office environment preferred.
* High school diploma or equivalent required; associate degree in Business Administration or Accounting preferred.
* Strong organizational, time management, and communication skills.
* Exceptional attention to detail and accuracy.
* Ability to maintain confidentiality and handle sensitive financial information with discretion.
* Self-motivated with excellent follow-through and problem-solving skills.
* Proficient in Microsoft Office, with strong Microsoft Excel skills, including sorting, filtering, and managing spreadsheets.
* Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
* Valid driver's license with a satisfactory driving record and reliable transportation.
