The practice serves patients at its Northborough office and through partnerships with nursing homes and rehabilitation facilities, offering bedside care that reduces the burden and cost of transportation. The team prioritizes timely access to care with same-week and often same-day appointments for acute and chronic conditions, helping patients avoid unnecessary urgent care or emergency room visits. Many minor skin surgeries are performed in-office, simplifying paperwork and improving convenience for patients. The practice focuses on health care cost savings by minimizing hospital fees, offering lower-cost procedures, affordable out-of-pocket rates, and accepting most insurance plans.

Role Description The Office Secretary is a part-time, on-site role based in Northborough, MA, supporting the smooth daily operations of the practice. Responsibilities include greeting patients, answering phone calls, scheduling and confirming appointments, and managing patient check-in and check-out processes. The role involves maintaining and updating patient records, handling clerical tasks such as filing, scanning, and data entry, and coordinating with clinical and billing staff to ensure accurate information flow. The Office Secretary will assist with insurance verification, basic billing inquiries, and preparation of forms and documentation. This position requires consistent professional communication with patients, families, and partner facilities, helping to maintain a welcoming, efficient front office environment.

Qualifications

  • Strong clerical skills, including data entry, filing, record management, and basic office software proficiency.
  • Excellent communication and customer service skills for interacting with patients, families, and healthcare partners.
  • Experience with company secretarial work or office administration, including handling correspondence and documentation.
  • Background in executive administrative assistance or similar roles, supporting scheduling, meeting coordination, and task prioritization.
  • High attention to detail, reliability, and ability to manage multiple tasks in a fast-paced medical office.
  • Comfort working with electronic health records (EHR) or willingness to learn healthcare software systems.
  • Previous experience in a medical, dermatology, or healthcare office environment is preferred.
