Job description

EXPERIENCED MEDICAL RECEPTIONIST / ADMINISTRATIVE PROFESSIONAL WANTED
Holistic Practice Management (HPM) is looking for an experienced, highly dependable, professional medical receptionist/administrative professional to join our virtual team.
This is not an entry level position. We are looking for someone who already understands what exceptional patient service looks like and can confidently support healthcare providers and their patients in a virtual environment.
The Right Person for HPM
You are someone who:

  • Has strong medical receptionist and/or administrative experience
  • Is confident speaking with patients and healthcare providers
  • Has excellent phone etiquette and a warm, professional presence
  • Can listen carefully, understand what a patient is asking, and respond accurately
  • Is highly organized and excellent at following through
  • Can manage multiple clients, priorities, calls, messages, and administrative tasks
  • Is comfortable learning and working in different EMR, scheduling, phone, texting, and communication systems
  • Has strong computer skills and learns new technology quickly
  • Pays close attention to detail
  • Takes excellent notes and understands the importance of documentation
  • Can work independently while also communicating effectively with a virtual team
  • Is dependable, punctual, accountable, and takes ownership of their work
  • Understands that how we communicate with a patient matters just as much as what we communicate
  • Brings a calm, positive, no-drama attitude to the workplace

What You'll Do
Depending on the client, responsibilities may include:

  • Answering inbound patient calls
  • Scheduling and rescheduling appointments
  • Managing patient messages and follow-up
  • Working within EMRs and scheduling platforms
  • Communicating with providers and patients
  • Taking detailed and accurate messages
  • Following practice specific protocols
  • Documenting calls, tasks, and follow-up
  • Managing multiple client workflows while maintaining excellent service
  • Providing the kind of patient experience that makes our clients feel confident putting their practice in our hands

⭐ What We Value Most

At HPM, we believe excellent reception is more than answering a phone.
It's listening well, responding accurately, following through, and making every patient feel cared for.
We want team members who understand that patients may be calling because they are worried, frustrated, confused, or simply need help. The person answering that phone can make a tremendous difference in their experience.

This Is a Virtual Position
You must have:

  • A quiet, professional workspace
  • Reliable high-speed internet
  • A dependable computer and headset
  • Excellent attendance and punctuality
  • The ability to remain focused and professional while working remotely
  • A professional presence on virtual team meetings, including being comfortable with cameras when required

Why HPM?
We are a team that genuinely cares about the practices we support and the patients they serve. We value professionalism, teamwork, accountability, kindness, and people who take pride in doing things well.
If you are an experienced receptionist or administrative professional who is looking for a team where your skills, maturity, reliability, and experience are valued, we'd love to hear from you.
Please send your resume and a brief introduction telling us about your medical reception/administrative experience and why you feel you would be a great fit for HPM.
