Job description

The primary role of this position is to support all departmental functions and ensure the timely and accurate completion of daily tasks, reports, and audits. Key responsibilities include entering all new, modified, and cancelled reservations from IHG Rental (GRS), Exchange, Executive/Corporate, and Wholesaler sources daily, as well as managing deposits and refunds for rental reservations. This role requires a deep understanding of the unique rate, deposit, and cancellation policies specific to each Holiday Inn Club property.
Additionally, proficiency in handling RCI, II, and third-party exchange (TPI) reservations is essential. The position collaborates closely with managers to resolve issues and maintain process consistency to achieve departmental goals. Providing support to other departments regarding rental and exchange reservations is also a critical aspect of the role.
ESSENTIAL DUTIES:
  • Report and audit generation to support daily entry of all new, modified, and cancelled reservations from IHG, Wholesale/FIT and Exchange companies. Identify and fix discrepancies. Understanding and applying resort-specific rate, deposits, promotions, and cancellations policies for Holiday Inn Club reservations. Managing deposits and refunds for rental reservations. Supporting other departments as needed regarding rental and exchange reservations.
  • Master functionality of property management system to review reservations, research owner contracts, and House/Room setup. Assist with exchange company report/inventory systems involving owner's space bank deposits, withdrawals, and inbound exchange/cancellation data.
  • Making sure to support with all Renovations, Maintenance, and OOS blocks. Assist with all owner rentals. Providing support to Front Desk teams and responding to inquiries from resort personnel.
  • Provide support for inbound/outbound phone calls and email Saleforce cases, aiding internal partners with reservation inquiries and related task. Collaborate with relevant departments to resolve issues promptly and ensure consistent processes. Mange troubleshooting processes during system issues and contribute to departmental task as needed.

REQUIREMENTS:
  • High School Diploma Required
  • Higher education or college experience preferred
  • Prior reservation experience required.
  • Prior experience with Timeshare Ware, Concerto, and Reservation Arrival Audit Reports a plus.
  • Prior experience working with Wholesalers and Group reservations
  • Prior external systems such as RCI Resort Link, Interval International, Third Party extranets
  • Inventory Management experience in a multi-site timeshare/club environment a plus.
  • Proficiency in current business applications such as Excel, Word, Crystal Reports, Business Objects, and Outlook
  • Detail oriented with a high level of accuracy
  • Self-starter with the ability to work with little supervision
  • Analytical skills coupled with balancing priorities to meet deadlines
  • Work closely within a team environment

Working hours: Flexible to work outside of normal business hours, weekends and overtime on an as needed basis.
