Job description

The Senior Accounting Specialist is responsible for performing a wide range of accounting duties for The Sebastian Vail, including specialized oversight of Homeowners Association (HOA) financial operations. This role requires strong attention to detail, proficiency in general accounting practices, and the ability to manage multiple entities and reporting cycles. The ideal candidate will have at least two years of accounting experience and a solid understanding of HOA accounting principles, hospitality accounting, or multi-entity financial management.
Key Responsibilities
General Accounting:
  • Perform day-to-day accounting functions including journal entries, account reconciliations, and general ledger maintenance
  • Assist with month-end and year-end closing processes
  • Prepare and analyze financial statements and reports for internal use
  • Ensure accuracy and completeness of financial data in accordance with company policies

HOA Accounting:
  • Manage all financial aspects of homeowner association(s), including operating and reserve funds
  • Prepare HOA financial statements, budgets, and variance analyses
  • Coordinate and process homeowner billing, assessments, and collections
  • Track and reconcile reserve accounts and capital expenditures
  • Assist with the preparation of annual budgets and reserve studies
  • Ensure compliance with HOA governing documents and applicable regulations

Accounts Payable & Receivable:
  • Process invoices, verify approvals, and manage vendor payments
  • Monitor accounts receivable, including delinquency tracking and follow-up
  • Maintain accurate records of all transactions

Audit & Compliance:
  • Support internal and external audit processes
  • Maintain proper documentation and audit trails
  • Ensure compliance with GAAP and internal financial controls

Collaboration & Communication:
  • Work closely with property management, HOA boards, and external vendors
  • Respond to homeowner and board financial inquiries in a timely, professional manner
  • Assist in presenting financial results to management or HOA boards as needed

Qualifications
  • Experience: Minimum of 2 years of accounting experience required (HOA, hospitality, or property accounting preferred)
  • Education: Bachelor's degree in Accounting, Finance, or related field preferred (or equivalent experience)
  • Strong understanding of accounting principles and financial reporting
  • Familiarity with HOA accounting practices, including reserve accounting, assessments, and budgeting, is a plus
  • Proficiency in accounting software and Microsoft Excel
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and interpersonal skills
