Job description

About the Role:

As a CBRE Administrative Services Coordinator - Real Estate, you'll support the day-to-day operations of 8+ medical office buildings, serving as a valuable partner to the Real Estate Management team. A major component of this role involves coding and processing invoices, ensuring financial information is handled accurately and efficiently across the property portfolio.
In addition to invoice management, you'll take on a variety of administrative responsibilities, including coordinating documentation, maintaining records, assisting with reports, supporting vendors and tenants, and helping keep property operations on track. This role is ideal for someone who enjoys balancing detail-oriented work with a diverse range of administrative tasks.

What You'll Do:
  • Review, allocate and accurately code invoices for processing.
  • Assist the team with various administrative tasks. This includes answering phones, communicating with tenants, filing and copying.
  • Maintain insurance certificates and leases.
  • Collaborate with building technicians and external vendors to ensure timely and effective completion of facility maintenance and repair projects.
  • Assist with lease administration tasks, including lease setup, amendments, and reporting, to ensure accurate and timely management of lease agreements.
  • Process and submit invoices for payment by accurately entering them into the accounting system and forwarding original documents to the accounting department for processing.
  • Communicate with tenants regarding rent payments, including phone calls and correspondence, to ensure timely payment and resolve any payment-related issues.
  • Apply established procedures and guidelines to resolve routine issues and complete tasks with minimal deviation from standard processes.
  • Responsible for delivering results through well-defined duties, methods, and tasks, with clear expectations and objectives.
  • Produce high-quality work by following established procedures and guidelines, with ongoing oversight and support from a supervisor.
What You'll Need:
  • High School Diploma or GED with a minimum of 2 years of job-related experience.
  • Experience with basic accounting principles, including understanding and processing invoices.
  • Ability to follow established procedures and maintain quality standards in daily work activities.
  • Effective communication skills to convey clear and concise information.
  • Property Management or Real Estate experience preferred.
  • Experience with managing vendors preferred.
  • Working knowledge of Microsoft Office Suite - Excel, Word, Outlook, PowerPoint
  • Highly organized and detail-oriented individual with a curious and analytical approach to problem-solving.
  • Basic math skills required, including proficiency in calculating percentages, discounts, and markups.

The minimum salary for the Administrative Services Coordinator - Real Estate position is $26.00 hourly and the maximum salary for the Administrative Services Coordinator - Real Estate position is $28.85 hourly. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
