JOB SUMMARY

We are seeking an Appointment Coordinator to coordinate and perform a variety of duties associated with appointment scheduling for provider clinic visits, genetic appointments, studies and procedures.

JOB DUTIES AND RESPONSIBILITIES

  • Process Scheduled Change Requests - by closing requested clinic days and rescheduling patients as instructed by the provider or care team. Update Qgenda to reflect the changes in Maestro Care.

  • Provider Template Editing - An Editor receives, interprets, and executes provider schedule change requests. The schedule change request is submitted to the editor and/or in the case of complex block scheduling. The Editor makes the schedule changes in the Maestro Care system using the edit template function once approved.

  • Schedule Auditing - Reviewing the accuracy of all the provider's schedules to ensure they are opened or closed appropriately. Audits provider templates and Qgenda to ensure accuracy across multiple platforms on a monthly and 6 month period.

  • Complex Procedure Scheduling - Responsible for scheduling various cardiology diagnostic procedures. Procedures include, but not limited to echocardiograms, echo stress tests, cardiac holter monitors, cardiac event monitors, and vascular testing for multiple cardiology clinic sites. They will provide specific appointment instructions and answer questions regarding the procedures. Contact patients and schedules diagnostic testing and clinic appointments, including genetic appointments


JOB ELIGIBILITY REQUIREMENTS

  • Work requires knowledge of basic grammar and mathematical principles normally acquired through high school education.
  • Minimum of one year of work experience in directly communicating and providing service to patients or public; preferably in a healthcare related field.
  • Experience in effectively coordinating multiple tasks or activities.
  • Comprehension of oral and written instructions and ability to gather/sort verify information based on general instructions.
  • Proficient in Maestro Care appointment scheduling preferred.
  • Communicate clearly and concisely by phone and e-mail.
  • Establish/maintain effective working relationships with employees and physicians.
  • Demonstrate flexibility with changing workload/assignments.
  • Ability to communicate effectively in person and in written form.
  • Substitute for absent team members by performing their work functions.
  • Proficient in Microsoft Word and Excel
  • Must be able to apply specific departmental policies rules and regulations relating to verifying patient information, collecting payments and maintaining records and forms.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
