Overview:

The Field Services Operations Coordinator plays a critical role in supporting the daily execution and operational performance of the Field Services organization. This position serves as a central support resource for field technicians, Area Managers, the Director of Field Services, and executive leadership.

This role is responsible for coordinating work order administration, operational reporting, field communications, payroll and bonus support, unit tracking, and cross-functional coordination between Field Services and departments such as Accounting, Payroll, Supply Chain, IT, Safety, and FP&A.

The ideal candidate is highly organized, analytical, detail-oriented, and comfortable managing large amounts of operational data while supporting a fast-paced field organization. This individual must be approachable, collaborative, and capable of helping improve processes and streamline administrative workflows as the business continues to grow.

Key Responsibilities:

  • Coordinate and monitor all field service work orders to ensure accuracy, completeness, and timely processing.
  • Ensure work orders are processed within established timelines.
  • Assist field personnel with work order corrections, unit status updates, and operational support within FloWorks.
  • Maintain accurate unit assignments, shut-in statuses, standby statuses, and reassignment records.
  • Support field personnel and leadership with operational questions related to unit history, runtime status, mechanic assignments, and reporting.
  • Create, maintain, and distribute operational reports and dashboards for field leadership.
  • Generate recurring reports related to bonuses, margins, runtime, PM compliance, unit gross margin, assigned units, H2S tracking, and field performance metrics.
  • Assist leadership with data analysis and reporting requests to support operational decisions.
  • Maintain reporting accuracy and consistency across multiple systems and departments.
  • Help identify reporting improvements and automation opportunities to reduce manual administrative work.
  • Assist in improving processes related to work orders, field communication, reporting workflows, and operational data management.
  • Help standardize templates, reporting tools, documentation, and administrative processes across Field Services.
  • Support ongoing improvement initiatives tied to systems such as FloWorks, NetSuite, Samsara, and related operational platforms.
  • Coordinate with IT and internal stakeholders to resolve system or data issues impacting field operations.
  • Coordinate monthly field bonus reporting and provide accurate data to Payroll and leadership teams.
  • Track H2S certification requirements and support communication related to compliance deadlines and field qualifications.
  • Assist with payroll-related operational reporting including margin, bonus, H2S, and assigned unit reporting.
  • Coordinate month-end reporting deadlines with Accounting, Payroll, and FP&A teams.
  • Serve as a central communication point between Field Services and departments including Accounting, Payroll, Supply Chain, IT, Sales, Safety, Engineering, and FP&A.
  • Coordinate communication and follow-up related to field operational needs, reporting requirements, and business processes.
  • Assist with field service retreats, meetings, travel coordination, and department events.
  • Support leadership with special projects and operational initiatives as needed.
  • Respond to incoming calls and operational requests from field technicians and Area Managers.
  • Support field teams with timely communication, documentation, and administrative assistance.
  • Maintain updated field personnel records, contact lists, distribution lists, and reporting documentation.
  • Coordinate monthly field communications including mechanic recognition and safe driver communications.
  • Other duties as assigned.

Qualifications:

Required:

  • High school diploma

Preferred:

  • 5+ years of administrative, operations coordination, or operational support experience preferred.
  • Experience supporting field operations, industrial services, energy, manufacturing, logistics, or similar operational environments preferred.

Competencies:

  • Strong Excel skills required, including PivotTables, formulas, filtering, sorting, and data cleanup.
  • Strong analytical and problem-solving skills with the ability to organize and interpret operational data.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced operational environment.
  • Strong communication and interpersonal skills with the ability to work effectively across departments and with field personnel.
  • Comfortable learning and navigating operational systems and software platforms.
  • Continuous improvement mindset with interest in streamlining processes and improving efficiency.
