I2X Technologies is seeking a Front Desk Administrative Assisatnt to support ongoing activities for a customer in Boulder, CO. This position will be on-site and will require US Citizenship with the ability to obtain a Secret/Top Secret Clearance.  

I2X Technologies is looking for a talented customer facing Front Desk Administrative Assistant to join our growing team!

This position is Monday - Friday from 0700-1500 in person at our Boulder Ground Innovation Facility (BGIF).  Work Location is Boulder/Gunbarrel area.

Responsibilities:

The Front Desk Administrative Assistant position will provide front desk and administrative support to all customers and tenants of the facility to include Facility Managers, Government Leads, and program personnel. Support will include assisting program personnel with site access, event planning and coordination, visits/tours within the facility, and administrative support to the overall organization.

In order to be successful in this role, you will need to have prior experience in general event management, administrative logistics, and customer service. This role requires an enthusiastic, proactive individual with outstanding communication skills and the ability to demonstrate incredible customer service, organization, collaboration, and leadership skills.

What You’ll Be Doing:

  • Front desk presence – Greet and proactively develop and manage vendor and customer relationships ensuring expected service levels are achieved or exceeded
  • Visitor Access Request (VAR) coordination and verification with the Site Security team and Facility Security Officers, verifying visitor clearances and administering security badges at the front desk
  • Event support consisting of forms verification, pre and day-of arrival coordination
  • Event coordination support (i.e. Support the full life cycle of events from inception, client collaboration and scheduling to implementation for experiences ranging from meetings to large-scale demonstrations and symposiums, and update calendars for as many as 10 events per week in meeting and event spaces across Lab spaces
  • General Government team and contractor team support (e.g. “go to” person for asking questions and they can point us to the correct personnel within the organization, and daily calendar deconfliction)
  • Personnel “Care and Feeding” (e.g. Get well/Sympathy/Congrats cards, farewell party coordination, farewell plaque creation, happy hour coordination)
  • General support of facility (e.g. forms, coffee/snacks in break rooms, facility requests for janitorial services with various departments, ordering supplies, etc.)
  • Calendar and communications support
  • Org chart, distribution list, and personnel directory management

  • Must be willing and able to obtain, maintain and/or currently possess a Secret security clearance. An active clearance would be preferred.
  • Demonstrated ability to effectively work with and communicate with all levels of management and individual contributors on the program team
  • Demonstrated ability to work with minimal supervision
  • Excellent written and oral communication skills, including multitasking skills
  • Proficient with Microsoft Office suite of tools
