Job description

Be the one who makes a difference!

At Vertex Education we are a team of high achievers, courageous leaders, and passionate believers in changing lives through education. As a purpose-led education services provider, our mission is destined to benefit many and yet it starts with just one person inspired to work together with us to make a memorable and meaningful difference for our clients, schools, students, and communities. Be the one who makes a difference-with us.

The Go-to-Market (GTM) Operations Analyst plays a critical role in supporting Vertex's go-to-market engine by ensuring that key operational, administrative, and data processes run with accuracy, consistency, and discipline. This role focuses on CRM data hygiene, contract workflow management, renewal and cross-sell documentation, reporting support, and execution of day-to-day operational tasks that enable the GTM team to work effectively.

Reporting to the GTM Operations Manager, the GTM Operations Analyst will partner closely with the School Partnerships Team, Regional Leads, Service Line Leaders, and Marketing to maintain clean, reliable data, streamline contracting and renewal processes, and support the systems and reporting that drive predictable performance.

This role provides essential support to Vertex's business development and account management functions by owning critical analytical, operational, and administrative responsibilities throughout the customer acquisition and service delivery lifecycle.

This is an execution-focused role requiring exceptional attention to detail, strong organizational skills, process orientation, and fluency with CRM tools (HubSpot preferred)

ESSENTIAL FUNCTIONS:

CRM Data Quality, Entry & Maintenance (HubSpot):

  • Ensure data completeness, accuracy, and consistency across all records (contacts, companies, deals, renewals, activities).

  • Own routine CRM hygiene tasks, including deduplication, field updates, stage adjustments, and record validation.

  • Log and maintain activity records, escalation notes, and renewal details as needed to support accurate reporting.

  • Monitor compliance with data standards and flag issues to the GTM Operations Manager.

2. Contracting & Renewal Administration:

  • Own the end-to-end process for initiating renewal workflows in HubSpot, ensuring renewal tasks are triggered based on accurate contract dates and informed by client relationship insights.

  • Support Account Managers and Regional Leads in preparing renewal documentation, pricing updates, scopes of work, contract amendments, and signature processes.

  • Track renewal status, contract cycle times, and required follow-ups to ensure timely and accurate completion.

  • Maintain an organized repository of all contracts and related artifacts.

3. Reporting & Performance Support:

  • Generate and update recurring reports and dashboards for leadership, including renewal tracking, pipeline views, activity logs, and sales performance.

  • Provide ad-hoc reporting support for Sales, Account Management, Marketing, and leadership teams.

  • Partner with the GTM Operations Manager to improve data visualization and reporting processes over time.

4. Process Execution & Documentation:

  • Support execution of standardized workflows across the GTM organization, including lead routing, opportunity setup, contract processing, and renewal steps.

  • Maintain and update documentation, including SOPs, renewal checklists, contracting guidelines, and process maps.

  • Help onboard new GTM team members on CRM usage, contract processes, and reporting standards.

  • Identify process bottlenecks and propose practical improvements to increase efficiency and reduce administrative burden.

    • Partner with Service Delivery teams to ensure smooth handoffs between sales and onboarding when contracts close.

SUPERVISORY AND MANAGERIAL RESPONSIBILITY:

This position does not have formal supervisory responsibilities. The analyst works under the direction of leadership and collaborates closely with internal team members and external partners to ensure smooth execution of marketing services.

KNOWLEDGE, SKILLS, & ABILITIES:

Education, Certifications, and Related Experience:

  • Bachelor's degree in Business, Operations, Marketing, Data Analytics, or related field preferred.

  • 1-3 years of experience in GTM, sales, revenue, or customer success operations or administrative support.

  • Experience with HubSpot (preferred) or another CRM; ability to learn new systems quickly.

Skills and Competencies:

  • Strong organizational and project-management skills.

  • High attention to detail and commitment to data accuracy.

  • Proficiency in Excel and comfort working with data.

  • Strong written and verbal communication skills.

  • Ability to work in a fast-paced environment and manage multiple priorities with minimal oversight.

  • Process-driven mindset and willingness to own recurring operational tasks.

BACKGROUND CHECKS:

  • The incumbent in this position will be required to pass a criminal history background check.
