Job description

GENERAL SUMMARY:

 Under minimal supervision, coordinates responses to service requests received by phone. Performs several clerical duties such as typing, data entry, generating service request, record keeping, filing, scheduling, coordinating projects and service requests, distributing mail, operating computer business applications and other standard business office equipment. Processing information in a timely manner and follow up with the requesting customers. Monitors critical alarms, fire alarms and key distribution.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • The Service Response Coordinator is responsible for adhering to all patient care services standards. Maintain established departmental policies and procedures, objectives, quality assurance program, environmental and infection control standards.

  • Performs all Service Response Center (SRC) related tasks demonstrating service orientation to fellow employees, patients, visitors and hospital staff.

  • Answers phones for all support services departments and dispatches appropriate personnel/staff to provide service based on request for Plumbing/Electrical, Plant Services, Machine Ship, Construction, Clinical Engineering, Environmental Services, Grounds, Security, Communications, Information Technologies, Medical Supplies, Medical Equipment, Mail, Laundry/Linen, Waste, Dietary Stock, Pharmacy Stock, Building Services Stock, Medical Records, Radiology Films, Lab Specimens, Critical Alarms, and other services.

  • Obtains information for all service requests.

  • Clarifies requests and communicates to appropriate staff for support services. Follows up with requesting customer via call/notification process.

  • Performs filing, typing, correspondence dissemination and distribution, memoranda and any other clerical task as requested by management for the above listed support service departments.

  •        Accesses the SRC software, Maintenance Tracking Equipment, Equipment Management Software, Groupwise Network Software, Materials Distribution Software, Bed Tracking software, Patient Tracking Software, Transaction Capture (T-Cap) billing and other spreadsheet/word processing business computer applications in a Window operating system to perform above duties.

  • Maintains confidentiality of patient and unit data per HIPPA regulations.

  • Enhances job-related growth and development through participation in educational programs, in-service meetings, and workshops.

  • Maintains a sanitary work environment by cleaning and maintaining all equipment, tools and surroundings in work areas including trash/linen shoots and equipment storage areas. In case of fire or other internal disaster, assists in evacuating ambulatory patients and residents to exits. In case of community disaster, assists nursing in making up extra beds and other duties as assigned.

  • Communicates patient concerns, discomfort to appropriate nursing staff if/when communicated by patient or visitors. Performs all other duties as assigned.

EDUCATION/EXPERIENCE REQUIRED: 

  • High School diploma or G.E.D. One to two years related experience required. 
  • Must have experience with Microsoft Office and other software packages. 
  • Good communication, motivational, organizational and problem-solving skills required. 
  • Must be able to read, write, and speak English at a level, which allows the safe and efficient performance of the job. Must pass physical examination as required by HFHS, which includes a drug screen. 
  • Must provide proof of legal status to work. 
  • After initial training, demonstrate ability to utilize supplies, tools, and equipment properly including but not limited to: telephones, digital scanning devices and digital paging devices.
