Position Summary
The Assistant Registrar for Degree Conferral and Graduation Operations manages and optimizes the full degree-conferral lifecycle, including graduation application processing, degree clearance, diploma production and commencement coordination in conjunction with the Office of Conference Services. The role ensures efficient workflows, high data integrity, and proactive monitoring of system updates and upgrades that impact conferral activities.
The position collaborates with academic departments, IT partners, and Registrar leadership to maintain accurate academic records, ensure timely and compliant reporting to the National Student Clearinghouse, and streamline communication so that only eligible students receive graduation-related information.

Knowledge, Skills and Abilities Required

Degree Conferral, Records Management, and Diploma Processing:
  • Oversee end-to-end processing of graduation applications, degree clearance, and degree posting in Banner.
  • Maintain accurate, complete, and timely graduated student records and files.
  • Serve as the primary contact for graduation inquiries, providing responsive and student-centered service via email phone, and in person.
  • Coordinate diploma and Commencement supply ordering with vendors and resolve diploma-related issues.
  • Reconcile diploma records with degree postings to ensure accuracy and timely delivery.
  • Submit degree completion information to the National Student Clearinghouse and verify successful transmissions.
  • Provide training and guidance to staff and campus partners regarding graduation workflows, degree-conferral processes, and system changes.

  • Monitor Banner, Dynamic Forms, Degree Works systems, and related platforms for updates or upgrades affecting degree-conferral workflows.

  • Collaborate with IT partners and system administrators to troubleshoot issues and implement improvements.
  • Perform routine audits of degree applications, clearance reports, and data exceptions to ensure accuracy and compliance.

  • Support commencement committees and subcommittees as assigned.

  • Maintain graduation communication timelines and templates in alignment with university standards.
