About the Opportunity
Job Summary
The Graduate Program Coordinator supports the Multidisciplinary Graduate Engineering (MGEN) unit's programs team in enhancing student, alumni, faculty, and industry engagement through strategic communication, data-informed initiatives, and event coordination. The role contributes to student success by developing informational materials, managing outreach platforms, and coordinating events that strengthen the student experience and programmatic reach. The Graduate Program Coordinator will collaborate closely with MGEN leadership, staff, and faculty to ensure consistent and effective communication of program initiatives, outcomes, and opportunities.
Key Responsibilities & Accountabilities
Student & Alumni Engagement and Communications
  • Develop and manage initiatives to engage current students and alumni, including newsletters, event invitations, and program updates.
  • Oversee the creation, scheduling, and distribution of content across internal platforms and external channels, including social media.
  • Collaborate with stakeholders to highlight student and alumni achievements through storytelling, digital features, and community spotlights, strengthening overall program visibility and connection.

Event Planning and Coordination
  • Plan and execute a range of student-facing (including alumni) and program-focused events, such as information sessions, academic celebrations, networking opportunities, and employer engagement initiatives.
  • Manage event logistics from concept through execution, including coordination with internal teams and external partners.
  • Produce and distribute event materials (e.g., flyers, programs, and digital assets) and ensure timely dissemination of event-related information.

Data and Operations
  • Maintain and analyze engagement-related data, including event participation, outreach effectiveness, and industry and alumni involvement.
  • Track and report on digital content performance in collaboration with data and student services teams.
  • Contribute to the development of surveys and analytical reports to assess program effectiveness, inform decision-making, and identify opportunities for improved engagement.

Program Support and Administrative Coordination
  • Provide operational support for programs, including maintaining program materials, updating web content, and assisting with documentation.
  • Contribute to the development and refinement of internal processes, project tracking systems, and cross-functional coordination efforts.
  • Collaborate across teams to support program initiatives and advance the overall goals of the MGEN portfolio.

Minimum Qualifications
  • Bachelor's degree required; advanced coursework or interest in higher education, communications, or data analytics preferred
  • Experience with social media management, digital communications, and event coordination
  • High proficiency with Microsoft Office Suite (including Teams); knowledge of data tools such as Excel, Banner, or other CRM systems
  • Strong organizational, written, and verbal communication skills; demonstrated ability to build and maintain relationships and manage databases
  • Experience in higher education or student support and engagement preferred
  • Demonstrated ability to manage multiple priorities in a fast-paced environment
