ADMINISTRATIVE ASSISTANT/FRESHMAN ACADEMY SCHOOL COUNSELING
Contract Period: Year-round position, 40 hours/week, non-exempt.
Supervisor: School Counseling Director
Qualifications: A High School diploma or equivalent is required, along with 1 to 3 years of office experience preferred, or an equivalent combination of education and experience. Candidates should possess excellent interpersonal and office skills, be proficient in Windows, Microsoft Office, and Google Suite software programs, and have strong telephone skills, confidentiality, flexibility, and good typing and multitasking abilities. Knowledge of Aspen and Naviance is a plus.
Responsibilities:
- Daily Office Management: Handle daily operations, including filing, typing, photocopying, and scheduling for Freshman Counselors and other staff.
- Student and Visitor Interaction: Manage student check-ins and check-outs, answer questions, and warmly greet parents/guardians and staff.
- Phone, Email, and Mail Handling: Answer incoming calls, reply to emails or direct them to the appropriate person, distribute mail, and manage bulk mailings.
- Appointment Scheduling: Book and maintain the calendar for Freshman Conference Rooms.
- Student Records and Data Management: Oversee freshman student records, manage data from feeder schools, and set up a database with the Registrar. Ensure course selection sheets and student data are complete and accurate.
- Screening of students: Evaluate students for potential urgent situations and determine their required support services.
- Coordination and Communication: Arrange meetings with 8th-grade counselors, track course waivers, and collaborate with the Technology Leader for the School Counseling website.
- Supply Management: Order and organize office supplies and School Counseling forms.
Additional Duties:
Perform other tasks as assigned by the School Counseling Director and Pupil Services Office Manager.
