Location: Remote with NYC-based collaboration as needed

About Mentor A Promise

Mentor A Promise (MAP) is a New York City–based nonprofit serving children and youth ages 5–18 experiencing housing instability through mentorship, literacy, education, social-emotional learning (SEL), creative expression, and community-based programs. MAP operates across multiple divisions with distributed teams, making clear systems, secure documentation, and efficient collaboration essential to mission delivery.

About Operations | Systems & Knowledge Management

The Operations function ensures MAP's internal systems are organized, secure, and easy to use. Google Workspace is a core infrastructure that supports collaboration, compliance, continuity, and accountability across programs, development, advocacy, and administration.

Role Overview

We are seeking a Google Workspace & Drive Expert to optimize how MAP uses Google Workspace tools—especially Google Drive—for collaboration, documentation, and knowledge management. This role focuses on structure, permissions, workflows, and best practices to ensure teams can work efficiently while protecting sensitive information.

The Google Workspace & Drive Expert partners with Operations and program teams to strengthen organization-wide productivity and reduce friction in day-to-day work.

Key Responsibilities

  • Audit and improve Google Drive structure, folder architecture, and naming conventions
  • Design and implement best practices for file organization, sharing, and permissions
  • Support setup and maintenance of shared drives for divisions and projects
  • Create guidance and documentation for Google Workspace use (Docs, Sheets, Slides, Drive)
  • Assist teams with workflows, templates, and collaboration standards
  • Support access control, versioning, and data hygiene practices
  • Partner with Operations and IT Security to ensure compliance and privacy alignment
  • Troubleshoot common Workspace issues and provide user support
  • Maintain timely, professional responsiveness via email and chat in Google Workspace

Qualifications

  • Strong experience using and administering Google Workspace and Google Drive
  • Deep understanding of file organization, permissions, and collaboration workflows
  • Ability to translate technical concepts into clear, user-friendly guidance
  • Strong organizational and documentation skills
  • Comfort working across teams with varying technical skill levels
  • Alignment with MAP's mission and dignity-centered values

Preferred Skills

  • Experience supporting nonprofits or distributed teams
  • Familiarity with data privacy, access control, or compliance considerations
  • Experience creating SOPs, templates, or internal training materials
  • Comfort collaborating with HR, Programs, Development, and Executive teams
  • Experience supporting change management or system rollouts

Commitment

  • Volunteer role
  • Approximately 5–10 hours per week
  • Minimum 6-month commitment preferred
  • Fully remote with optional NYC-based collaboration
