Job Title: Administrative Assistant
Reports To: Secondary School Principal
Schedule: 200 days/year, mid August through mid June
Position Summary
The Secondary School Principal Administrative Assistant provides administrative and organizational support to the principal and assistant principal while ensuring the efficient operation of the secondary school office. This position serves as a primary point of contact for students, staff, parents, and community members and contributes to maintaining a positive and professional school environment.
Essential Duties and Responsibilities
- Provide direct administrative support to the secondary school principal and assistant principal
- Manage the principal's calendar, including scheduling meetings, coordinating appointments & assistance with the hiring process.
- Serve as the first point of contact for visitors, students, staff, and parents
- Answer and direct phone calls, emails, and other communications.
- Maintain student records, files, and confidential documents in compliance with data privacy laws
- Manage attendance, discipline documentation, and reporting as directed by administration
- Serve as the primary contact for student truancy concerns, including communication with students and families regarding attendance
- Prepare correspondence, reports, agendas, and meeting materials
- Coordinate school events, conferences, and activities
- Process purchase orders, invoices, and financial documentation
- Support substitute teacher coordination and daily staff coverage
- Manage student registration/transcript requests, enrollment, and withdrawal processes through Infinite Campus
- Assist with support of the nurses office
- Maintain office supplies and coordinate ordering
- Ensure compliance with district policies and procedures
- Support DAC in registering students for tests and organizing supplies
- Generate reports from IC (grade reports, honor roll, etc..)
- Maintaining weekly enrollment as well as processing record requests for students enrolling and transferring.
- Perform other duties as assigned by the principal
Knowledge, Skills, and Abilities
- Strong organizational and time management skills
- Ability to manage multiple tasks and prioritize effectively
- Excellent communication and interpersonal skills
- High level of professionalism and confidentiality
- Proficiency in office technology, including Google Suite, Microsoft Windows, Canva, Infinite Campus, Schoology and Minga
- Knowledge navigating Social Media Platforms
- Ability to work independently and collaboratively
- Strong attention to detail and accuracy
- Ability to interact positively with students, staff, and the public
- Troubleshoot basic iPad issues
Qualifications
- High school diploma required
- Associate or bachelor's degree preferred
- Previous administrative or school office experience preferred
- Experience with student information systems and school operations preferred
Working Conditions
- Office setting within a secondary school environment
- Frequent interaction with students, staff, and community members
- Will require occasional evening or event support at special events when needed.
