Job description

The Certified Payroll & Payroll Specialist at Gilmore Construction plays a critical role in ensuring accurate, timely, and compliant payroll processing for both company employees and project subcontractors. This position upholds the highest standards of accuracy, confidentiality, and regulatory compliance, supporting municipal, state, and federal project requirements in accordance with Davis-Bacon, Colorado Prevailing Wage, and client-specific standards. Reporting to the Controller, the Specialist works primarily with Sage 100 Contractor, LCP Tracker, and eComply to manage medium-scale payroll operations for 50 employees without any travel requirements.

Responsibilities

  • Process weekly payroll ensuring accuracy of hours, rates, and job cost coding
  • Audit employee timecards for completeness, accuracy, and proper job coding
  • Prepare, review, and submit certified payroll reports for employees and subcontractors
  • Collect and verify subcontractor certified payroll submissions for compliance
  • Communicate with subcontractors to resolve payroll discrepancies
  • Maintain and update payroll and certified payroll records in required software platforms
  • Coordinate with HR to ensure accurate employee setup, wage adjustments, and benefits
  • Process and remit payroll withholdings, garnishments, retirement contributions, and taxes on schedule
  • Support Controller and CFO with payroll journal entries, reconciliations, and audit preparation
  • Monitor updates to prevailing wage and certified payroll requirements and provide training as needed
  • Provide documentation and reporting to owners, auditors, and government agencies
  • Manage monthly reconciliation of company credit card activity related to payroll
  • Respond promptly to employee and subcontractor payroll inquiries with professionalism
  • Ensure payroll accuracy, transparency, and compliance in every cycle
  • Perform other duties as required

Required Qualifications

  • Minimum 3 years payroll experience including certified payroll in construction
  • Strong knowledge of Davis-Bacon, Colorado prevailing wage laws, and certified payroll compliance
  • Experience with subcontractor-certified payroll for public or federally funded projects
  • Proficiency with Sage 100 Contractor and Microsoft Excel
  • Understanding of state payroll tax requirements
  • Exceptional attention to detail and accuracy under deadlines
  • Strong interpersonal communication and confidentiality management skills

Preferred Qualifications

  • 5+ years payroll processing experience
  • Associateโ€™s degree in Accounting, Finance, or related field
  • Certified Payroll Compliance knowledge
  • Experience with LCP Tracker and eComply compliance platforms
  • In-depth knowledge of payroll tax regulations
